Job Description

Payroll Specialist

Healthesystems

• Collects and reviews employee information and working hours • Calculates wages • Prepares and processes payroll • Maintains accurate payroll records • Prepares payroll related month end journal entries and accruals • Supports various audits as needed • Process bi‑weekly payroll for approximately 350 employees • Administer payroll transactions including earnings, deductions, overtime, vacation, bonuses, and other compensation elements • Maintain accurate payroll records and documentation to support internal controls and compliance requirements • Ensure payroll activities comply with applicable federal, state, and local tax laws, wage and hour regulations, and company policies • Generate payroll‑related reports, tax reports, and deduction reports as required • Perform system audits and reviews to validate payroll accuracy and data integrity

Job Requirements

  • Bachelor’s degree in accounting or finance preferred
  • Associate’s degree with relevant experience required, or equivalent combination of education and experience
  • Minimum of 3–5 years of payroll experience in a multi‑employee and/or multi‑state environment
  • Experience with payroll processing systems; ADP Workforce Now experience strongly preferred
  • Solid understanding of payroll principles, tax reporting, wage and hour rules, and payroll compliance requirements
  • Proficiency in Microsoft Excel and Microsoft Office applications required
  • Experience with Enterprise Resource Planning (ERP) software preferred
  • Effective written and verbal communication skills
  • Strong organizational and time‑management skills

Position Summary: Serves as payroll tax and compliance subject matter expert and designated backup to the Payroll Manager. Manages payroll tax compliance, amendments and agency interactions. Assist with processing weekly and semi-monthly payrolls using UKG (Ultimate Kronos Group), ensuring accuracy, compliance, and timely execution. Key Responsibilities: - Maintain compliance with federal, state, and local payroll laws and regulations. - Manage payroll corrections and amendments. Oversee UKG response to amendments and track compliance and remittances. - Audits of tax rates and review of variances for quarterly reporting. - Maintain tax registrations with state and local authorities. - Assist with payroll tax filings, garnishments, and year-end reporting including W-2s. - Collaborate with HR and Benefits teams to ensure accurate employee data and payroll deductions. - Process and audit weekly and semi-monthly payrolls for 3,000+ employees across multiple U.S. states using UKG. - Respond to employee inquiries regarding payroll, taxes, and timekeeping in a timely and professional manner. - Support internal and external audits by preparing payroll reports and documentation. - Identify and recommend process improvements to enhance payroll accuracy and efficiency. - Always maintain confidentiality of payroll and employee information. Qualifications: - Associate’s or bachelor’s degree in Accounting, Finance, Business Administration, or related field. - 10+ years of payroll experience, preferably in a high-volume, multi-state environment. - Experience in UKG and WFM a plus. - Experience with weekly and semi-monthly payroll cycles. - Solid understanding of payroll tax regulations and compliance requirements. - CPP (Certified Payroll Professional) or FPC (Fundamental Payroll Certification) preferred. - Advanced Microsoft Excel and payroll reporting tools. - Excellent attention to detail, organizational, and communication skills. - Ability to manage sensitive information with discretion and integrity.
