Project Manager, Creative Operations – Production Coordinator

• Manage incoming creative requests from clients (video, photo, social, campaigns) • Translate rough ideas into clear, structured briefs • Assign and coordinate work across editors, designers, and collaborators • Track timelines, deliverables, and project status across multiple jobs • Maintain organized systems (Notion, Trello, Google Drive, etc.) • Serve as a consistent, professional point of contact for projects • Send updates, gather feedback, and keep communication clean and efficient • Clarify unclear or incomplete requests into actionable direction • Ensure clients feel informed, supported, and confident throughout the process • Prepare clean, actionable handoffs to editors and creatives • Ensure all deliverables align with brand voice and tone, platform requirements (IG, TikTok, YouTube, etc.), creative direction provided • Perform light quality control before delivery (not deep editing, but strong awareness) • Occasionally generate final assets when speed is required (images, short-form videos, concept visuals) • Use tools like Higgsfield, Kive, Runway, ChatGPT • Coordinate shoot schedules, deliverables and timelines, internal and client meetings • Help prioritize projects and manage shifting timelines • Support light production planning when needed • Assist with organizing shot lists, deliverables, creative assets • Help coordinate projects where photography/video is being captured directly • Ensure assets are properly organized and handed off for post-production
Job Requirements
- Strong organizational and communication skills
- Ability to bring structure to fast-moving creative environments
- A clear understanding of creative workflows (video, content, or marketing)
- Strong attention to detail and follow-through
- Ability to work independently and anticipate needs
- Strong eye for design, composition, and visual storytelling
- Ability to recognize what feels on-brand vs. off
- Comfortable making quick creative decisions when needed
- Ability to match and maintain the visual identity of multiple brands
- Comfortable with Google Drive, Notion / Trello / Asana, Slack / Email
- Familiarity with video/content workflows
- Experience with AI creative tools is a strong plus
- Background in content creation, editing, or production (Nice to Have)
