Placement Affiliation Agreement Administrator
iDesign
• Maintain and update accurate site, preceptor, and placement records within the placement management system and Google Sheets. • Prepare, upload, and organize site and preceptor documentation prior to each placement term. • Conduct ongoing data quality checks, including eliminating duplicates and updating contact and site information. • Track contract status and documentation progress across programs and placement cycles. • Collect and manage required onboarding documentation from clinical partners. • Maintain updated records of site clearance and onboarding requirements in the placement portal. • Collaborate with Placement Advisors to gather site details needed for clinical affiliation agreements. • Assist with contract workflows, including: Identifying and confirming correct site contacts, Uploading agreements and related documents into the placement portal, Tracking progress through review and execution, Relaying updates between sites and institutional legal/contracts teams. • Respond to student inquiries related to placement paperwork, compliance requirements, and clearance timelines, providing accurate procedural guidance. • Communicate next steps and expectations while maintaining privacy and professionalism. • Maintain FERPA-compliant communication practices; document student communications and escalate issues to Placement Advisors as needed.
Job Requirements
- Ability to maintain confidentiality and handle sensitive information responsibly; familiarity with FERPA is a must.
- Associate’s or Bachelor’s degree preferred.
- Experience in higher education, healthcare education, academic placement coordination, or related administrative roles preferred.
- One year of administrative or operations experience (experience supporting contract workflows is a plus).
- Proficiency in Google Workspace (especially Google Sheets); capable of mastering new technology systems quickly.
- Strong understanding of process workflows and data management.
