Virtual Assistant – Appointment Setter

• Conduct outbound prospecting calls using Kixie and related communication tools; • Set qualified appointments directly on the executive’s calendar; • Execute structured follow-up via phone, text, and email to confirm interest and attendance; • Pre-qualify prospects to ensure strong intent and alignment prior to booking; • Source, verify, and maintain clean, accurate lead lists; • Maintain detailed call notes and precise calendar entries; • Reduce no-shows through confirmation and reminder processes; • Communicate effectively with Sales and Operations regarding pipeline status; • Identify issues proactively and resolve them with minimal supervision;
Job Requirements
- Proven experience as an appointment setter or in a similar outbound sales/support role
- Strong verbal communication skills with a clear, confident, and professional phone presence
- Experience using dialing systems (Kixie preferred) or the ability to learn quickly
- Demonstrated ability to qualify leads and handle objection-based conversations
- Experience sourcing, validating, and managing lead lists
- High level of initiative, accountability, and self-direction
- Strong problem-solving and troubleshooting skills
- Ability to learn new tools, platforms, and products efficiently
- Dependable work ethic with consistent follow-through and attention to detail
- Professional, positive attitude in all interactions
- Ability to collaborate effectively with remote teams
- Stable, high-speed internet suitable for consistent outbound calling
