Tax Compliance and Internal Audit Specialist

• Ensure timely and accurate preparation and submission of payroll tax filings (e.g., Forms 941, 940, W-2, W-3), sales tax filings, and other regulatory filings across applicable jurisdictions. • Register for new payroll tax and sales tax accounts as needed due to business expansion or remote workforce coverage. • Reconcile payroll tax liabilities, sales tax obligations, and payments regularly, resolving discrepancies as needed. • Monitor and stay informed on changes in payroll tax legislation, sales tax laws, GAAP, and other accounting regulations, ensuring compliance. • Manage and maintain employee tax data, including tax jurisdictions and residency details. • Respond to tax notices and inquiries from authorities, coordinating resolutions with internal and external stakeholders. • Make outbound calls to federal, state, and local tax agencies to resolve filing discrepancies, confirm account status, request penalty abatements, and follow up on outstanding notices. • Collaborate with HR, Payroll, and Accounting teams to ensure accurate processing and reporting of wages, benefits, deductions, and taxes. • Assist in year-end tax processing, including W-2 distributions and final sales tax filings. • Recommend improvements and automation opportunities to enhance payroll tax, sales tax, and accounting compliance efficiency. • Support internal audit processes by preparing and organizing documentation, workpapers, and supporting schedules across accounting and finance functions for audit review. • Respond to internal audit inquiries by gathering and providing requested documentation across accounting, finance, and compliance functions. • Support the Internal Audit Manager in periodic compliance reviews across accounting and finance processes, identifying control gaps and preparing remediation recommendations. • Maintain organized audit trails across accounting and finance operations, including tax filings, payments, journal entries, and correspondence to ensure ongoing audit readiness.
Job Requirements
- Bachelor’s degree in Accounting, Finance, or a related field; CPP (Certified Payroll Professional) or similar certification a plus
- 3+ years of experience in U.S. payroll and sales tax compliance, preferably in a multi-state environment; experience in BPO or outsourced accounting environments is strongly valued
- In-depth knowledge of federal, state, and local payroll and sales tax regulations
- Familiarity with payroll systems (e.g., ADP, Workday, Paychex, UKG) and tax reporting tools (Avalara, Anorak, TaxJar)
- Strong analytical and reconciliation skills
- Experience supporting internal audits, including preparation of workpapers and audit documentation; familiarity with internal control frameworks (e.g., COSO) is a plus
- Familiarity with AI tools (e.g., ChatGPT, Claude, Copilot) and willingness to integrate AI into daily workflows for research, documentation, and process improvement
