Administrative Assistant
Sophie Society Co.
• Daily Support & Communication • Check and respond to Slack messages and emails (Inbox Zero champion). • Join a quick daily check-in (30 min) with your manager. • Client Onboarding • Process new client data in our systems. • Collect and store all necessary documents. • Follow up on any missing forms. • Organization & File Management • Keep client records up to date in our spreadsheets. • Organize files in Google Drive. • Maintain clean, accurate shared folders. • Meeting Coordination • Schedule and manage invites for internal and client meetings. • Update links, attendees, and any meeting tools needed. • Reporting & Data Updates • Prepare and send weekly client reports. • Update dashboards and track churn data. • Share any missing onboarding info with the team. • Monthly Clean-Up • Put together the monthly churn report. • Remove old client data from systems and archive it. • Team Onboarding & Offboarding • Set up new team members with access to our tools. • Remove access when someone leaves. • Recognition & Feedback • Share client feedback with leaders. • Post positive shout-outs in our recognition channel. • Cross-Team Support • Keep communication flowing between Sales, Finance, and Content teams. • Access & Platforms • Manage solution provider portal invites. • Request client access for Amazon tools. • Ad Hoc Tasks • Create custom reports or handle special requests from leaders. • Process Improvements • Keep SOPs up to date. • Suggest better ways to make our workflows smoother.

Purpose Provide reporting, document preparation, and administrative support services to the Right of Way project team. Responsibilities Leadership and Direction - Perform work under direct supervision of an experienced professional and follow established procedures and clearly defined processes. Receive direction on all aspects of assignments, specific tasks and how to execute. Work is thoroughly reviewed by more senior staff to ensure application of sound techniques and principles. At the Operational and Company Level - Assist Right of Way Agents and Project Managers in preparing documents (i.e., Easements, Letters, Proposals, Work Orders, Change Orders, Sub Consultant Agreements, Transmittals) and processing same in workflow system. Do the Work - Initial entry and daily update of project and parcel information in database and project tracking reports - Research property records and download deeds, easements, judgments, liens, assessment cards, plats, and maps from online county resources. - Use online resources to determine status of corporations and officer's/agents, as well as researching contact information for parcel owners. - Utilize mail merge to generate mass mailing documents and correspondence. Print documents and prepare packages for mailing. - Maintain electronic and paper data filing systems; upload and file necessary records. - Compose and edit correspondence in Word and create and maintain spreadsheets in Excel. - Administer incoming phone calls and ensure calls are redirected accordingly. - Receive, sort, and forward incoming mail. Prepare outgoing mail and correspondence, coordinate the pick-up and delivery of express mail services (UPS, courier service, etc.). - Maintain conference room areas; control inventory of supplies for right-of-way team. - Perform administrative duties such as coding documents, copying, binding, collating, scanning, filing, data entry, etc. Success Metrics and Competencies - Ability to work both independently and within a team environment. - Ability to effectively communicate with all levels of the organization and external partners. - Effective verbal and written communication skills. - Strong work ethic and commitment to quality. - Effective working relationship with internal leaders and peers, as well as external clients. - Ability to effectively manage multiple time-sensitive tasks.
