PMO & Communications Coordinator

• Develop, design, and refine executive-level PowerPoint presentations for MBRs, QBRs, offsites, strategy sessions, and cross-functional forums. • Translate complex business and technical information into concise, visually compelling storytelling. • Draft executive summaries, talking points, meeting notes, and communication materials. • Coordinate logistics for leadership meetings, workshops, planning sessions, and offsites. • Manage run-of-show documents, materials, seating charts, AV setup, and vendor coordination. • Prepare and track agendas, timelines, and event deliverables. • Support PMO governance routines including RAID logs, project updates, status reporting, and intake workflows. • Manage cross-functional schedules, dependencies, and action items. • Assist Project Managers and Program Managers with documentation, tracking, and communications. • Maintain SharePoint sites, Teams channels, and online project repositories. • Develop and maintain standardized templates for presentations, reports, and project documentation. • Help support organizational rhythms including operating cadences and planning cycles. • Serve as a connector across Technology, Operations, Distribution, Finance, and Product teams. • Facilitate communication flow between leaders and project teams. • Ensure timely alignment and follow-through on cross-departmental initiatives.
Job Requirements
- 3–6 years of experience in PMO support, executive administration, communications, operations, or coordination roles.
- Advanced proficiency in Microsoft PowerPoint with demonstrated experience producing executive-ready decks.
- Strong written communication skills with ability to distill and structure information clearly.
- Exceptional organizational skills and ability to manage multiple fast-moving priorities.
- Experience coordinating events, leadership meetings, or workshops.
- Familiarity with PMO tools (Asana, Planview, Jira, SharePoint, Teams) is preferred.
- Experience in insurance or financial services is a plus.
