EXECUTIVE ASSISTANT

Role Description We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the CEO/Owner and provide shared administrative support to additional executives as needed. This role requires exceptional communication skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is a self-starter who anticipates needs, streamlines operations, and ensures executives can focus on high-impact work. Duties and Responsibilities - Meeting & Communication Management - Schedule and coordinate internal and external meetings. - Prepare meeting agendas, materials, and follow-up summaries. - Track action items and ensure timely completion. - Serve as a liaison between executives, clients, and internal teams. - Administrative & Operational Support - Organize and track purchases, expenses, and receipts. - Assist with budgeting support and expense reporting. - Maintain organized digital filing systems and records. - Support light HR administrative functions (review coordination, document tracking, etc.). - Event & Conference Coordination - Research and register executives for conferences and industry events. - Coordinate logistics including travel, accommodations, and schedules. - Prepare briefing materials for events and speaking engagements. - Shared Executive Support - Provide administrative support to additional executives as needed. - Balance competing priorities across multiple stakeholders. - Ensure consistency and professionalism in all executive communications. Qualifications - 3+ years of experience as an Executive Assistant or similar role (supporting senior leadership preferred). - Exceptional written and verbal communication skills. - Strong organizational and time management abilities. - High level of discretion and professionalism. - Ability to multitask and adapt in a dynamic environment. - Proficiency with tools such as Google Workspace, Microsoft Office, calendar tools, and communication platforms.
