Senior Executive Assistant

• Manage complex calendars across multiple European time zones • Anticipate needs, prioritize critical matters, and ensure leadership is always prepared • Organize meetings, briefings, agendas, and follow-ups • Serve as the operational backbone connecting leadership to internal teams • Facilitate communication across product, engineering, scheme, and marketing • Support alignment, track action items, and maintain momentum • Plan virtual and in-person meetings, workshops, off-sites, and leadership sessions • Manage travel, expenses, and scheduling with precision • Prepare presentations, communications, and executive materials • Organize documentation and ensure information flows efficiently • Compile insights, summarize updates, and support KPI tracking • Maintain confidentiality and handle sensitive information with discretion • Optimize executive workflows and operational routines • Suggest improvements for coordination, processes, and communication • Strengthen the efficiency and rhythm of EPI’s Product and Design team
Job Requirements
- 7+ years’ experience as an Executive Assistant supporting senior leaders or VP’s
- Background in fast‑paced, international, and tech‑driven environments
- Exceptional organizational and multitasking abilities, with strong prioritization skills
- Skilled at managing complex calendars, stakeholders, and workflows
- Experienced in preparing presentations, reports, and executive-level communications
- Proactive, independent, and able to anticipate needs and solve problems efficiently
- Strong interpersonal skills and a collaborative, team-oriented approach
- Fluent in English (C1/C2), additional language (German) is a strong plus
- Comfortable working remotely across multiple European time zones
- Willing to travel approximately once per quarter
