• Provide executive‑level administrative and strategic support to Department Presidents • Own complex calendar management across multiple time zones, prioritizing critical business initiatives • Prepare agendas, briefing materials, pre‑reads, and decision summaries; capture action items and ensure timely follow‑up • Draft, refine, and summarize executive communications using AI‑enabled tools • Support planning and execution of department‑level initiatives, tracking milestones and deliverables • Coordinate executive travel, offsites, and leadership events • Communicate with clarity, professionalism, and discretion across senior stakeholders • Manage ambiguity and competing priorities with resilience and effectiveness.
Job Requirements
- Bachelor’s degree
- At least 5+ years of experience in an Executive Assistant, Administrative, or Personal Assistant role
- Strong AI literacy, including hands‑on experience with tools such as Microsoft Copilot
- Proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint)
- Fluent in English (written and spoken)
- Proven ability to manage projects independently and handle sensitive information with integrity

Role Description Vos missions en quelques mots : - Assurer le bon fonctionnement de l’activité d’un responsable et/ou d’une équipe dédiée en matière d’organisation et de logistique. - Assurer une circulation fiable de l'information et un rôle d'interface avec l'ensemble des interlocuteurs internes et/ou externes. Activities - Organise le travail administratif et favorise la communication à l'intérieur et à l'extérieur du domaine SI BDTMP. - Organise les déplacements (création des ordres de missions, réservations des billets, hôtels et locations de véhicules) et prend en charge les formalités administratives afférentes. - Accueille les interlocuteurs, oriente les appels, transmet et assure le suivi des messages téléphoniques et courriels, tout en assurant un rôle d’interface entre les interlocuteurs internes et externes. - Gère l’agenda du responsable du domaine SI BDTMP et des managers, en tenant compte des priorités (réunions, arbitrages, déplacements, conflits de réunion, réservation de salle). - Organise la tenue des CODIR Filière SI BDTMP (planification, invitation, réservation de salle), rédige le CR avec le suivi des actions. - Organise les réunions majeures du domaine SI BDTMP (COSTRAT, COPIL, CSSI etc). - Organise la mise en œuvre opérationnelle des séminaires Filière SI BDTMP (réservation de salle, commandes, invitation, relance). - Vérifie la conformité des documents avant signatures (respect de la charge graphique, syntaxe…). - Gère le courrier, ainsi que le classement et l’archivage numérique et papier. - Arrange l’organisation pratique du domaine SI BDTMP (gestion du planning des congés, gestion des notes de frais, liste de diffusion, gestion des stocks de fourniture, événementiel). - Gère des budgets de fonctionnement courant du domaine SI BDTMP (fournitures et petits matériels, événementiel) en assure le reporting et dans certains cas saisit les données relatives aux achats dans l’outil dédié, dans le respect des règles de marché. - Gère les entrées/sorties des collaborateurs internes et/ou externes du domaine SI BDTMP (gestion des badges, du matériel et des habilitations).
