Role Description The Executive & Personal Assistant will provide high-level administrative and operational support to the Executive Director, ensuring smooth day-to-day execution across business and personal responsibilities. This role requires exceptional organizational skills, discretion, and the ability to manage competing priorities across multiple time zones. The ideal candidate is proactive, detail-oriented, and capable of anticipating needs while maintaining efficiency and structure in a dynamic work environment. Responsibilities - Executive Support - Manage complex calendar scheduling across PST (Idaho) and AEST (Sydney) time zones - Coordinate meetings and communications with investors and key stakeholders - Prioritize incoming requests and act as a gatekeeper to protect the Executive Director’s time - Business & Project Operations - Maintain organized digital filing systems and track project priorities - Prepare summaries, reports, and briefing documents - Support real estate initiatives through research, lead generation, and basic revenue modeling - Conduct market research related to lodge operations, amenities, and pricing strategies - Mining & Development Support - Track compliance requirements and permitting timelines (e.g., BLM, USFS, DEQ) - Assist with operational logistics such as drilling schedules and project coordination - Conduct research related to mining operations, including mill reactivation and heap leach processes - Personal Assistance - Proactively manage day-to-day administrative and personal tasks - Identify ways to improve efficiency and reduce friction in the Executive Director’s workflow Qualifications - 2+ years of experience as an Executive Assistant or Personal Assistant - Excellent written and verbal English communication skills - Strong proficiency in Google Workspace and Excel - Ability to work across PST and AEST time zones - Strong organizational, multitasking, and problem-solving skills - High level of discretion and professionalism when handling confidential information Requirements - Experience in real estate, construction, or mining industries (preferred) - Familiarity with project management tools such as Asana or Smartsheet (preferred) - Experience supporting executives with complex, multi-entity operations (preferred) Application Disclaimer - Voice/Video Recording is REQUIRED - Your application CANNOT be considered without a voice or video recording. Role Description The Mobility Services Department (MSD) is seeking a professional, self-motivated, and experienced Executive Assistant to support the department. The position reports to the MSD Managing Director. The Executive Assistant provides general support to a 16-person cross-functional team and plays a vital role in advancing departmental initiatives.
