Job Requirements

  • Proven experience as an Executive Assistant or in a similar high-level administrative role
  • Strong organizational and time management skills with the ability to multitask effectively
  • Excellent communication skills, both written and verbal
  • High level of initiative, accountability, and problem-solving ability
  • Comfortable working in a dynamic, fast-paced environment
  • Proficiency in Microsoft Office / Google Workspace tools
  • Experience in logistics, supply chain, or operations is an advantage

Role Description The Mobility Services Department (MSD) is seeking a professional, self-motivated, and experienced Executive Assistant to support the department. The position reports to the MSD Managing Director. The Executive Assistant provides general support to a 16-person cross-functional team and plays a vital role in advancing departmental initiatives. Key responsibilities include: - Performing complex administrative and operations tasks. - Coordinating programs and projects with subject matter experts. - Supporting internal and external activities. - Tracking budgets and expenditures. - Engaging with diverse stakeholders in a fast-paced, dynamic environment. All in support of the region’s Transportation Demand Management (TDM) Program. Essential Duties and Responsibilities: - Provides executive and administrative support to the MSD Director, including calendar coordination, travel coordination, phone and correspondence workflow, and ensuring timely task execution with appropriate staff engagement. - Coordinates internal and external communications, acting as a liaison across departments and with external partners, while maintaining confidentiality and supporting senior leadership priorities. - Assists MSD staff with administrative support and project management of strategic initiatives, programs and functions which may include monitoring budgets and expenditures; coordinating processes; interacting with stakeholders and partners; and coordinating workflow and work product. - Oversees monthly and quarterly reporting to track and monitor both MSD and Agency goals and objectives. - Supports meetings and events planning, including scheduling, logistics, materials preparation, and stakeholder engagement. - Supports recruitment logistics, screening, interviewing, onboarding, and department organizational updates in collaboration with HR and other internal teams. - Oversees the procurement and inventory of departmental office supplies, ensuring that purchases are in accordance with ARC policies and procedures, including proper documentation management. - Processes and manages travel expense authorization and expense reimbursement reports, ensuring that travel plans and expenses are in accordance with ARC policies and procedures, including proper documentation management. - Performs general document management and control, including filing and archiving project and operational documents in accordance with ARC policy. - Assists in the preparation of regularly scheduled reports, presentation materials, slide presentations, forms, charts, memos, and other written communications as required. - Collaborates within ARC as needed to maintain MSD content on the ARC website. - Performs other duties as assigned to support Agency goals and objectives. Qualifications - Associate’s degree in business administration, public administration, accounting, finance or related field. - Four years of administrative support or customer service experience. - OR an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job. Requirements - 3+ years of experience supporting executive level leaders. - 5+ years of administrative/office management experience. - 5+ years of experience with productivity and project management software. - Experience with Asana or other task management/collaboration software.
