Production Coordinator

THE ROLE You are not just doing paperwork. You are the logistical heartbeat of the production team. As our Production Coordinator, you will provide essential daily support to the production department across live-action video, creative, and digital campaigns. You will handle the vital administrative and logistical tasks that keep projects moving, from organizing vendor contracts and tracking expenses to managing massive folders of final assets. You are the ultimate unblocker, ensuring that our production team can focus on the big picture because you have the details locked down. Prospekt is based in Toronto. This role is fully remote (North America only). We care about output, collaboration, and craft no matter where you are located. WHAT YOU WILL DO Logistical and Administrative Support •⁠ ⁠Support production team with daily tasks, meeting scheduling, and taking meticulous notes during production stand-ups. •⁠ ⁠Process and track production invoices, independent contractor agreements, and talent release forms. •⁠ ⁠Help actualize budgets by logging daily/weekly expenses against the master production budget. •⁠ ⁠Coordinate travel logistics, call sheets, and remote schedules for the production team and talent. Asset Management and Delivery •⁠ ⁠Own the organization of our digital workspace, ensuring all project folders (Drive, Dropbox, etc.) are properly structured, named, and maintained. •⁠ ⁠Act as the final quality-control check on file specs, ensuring that all exported assets (video, 3D renders, social graphics) are formatted correctly before client delivery. •⁠ ⁠Traffic final deliverables between the creative team, the account team, and external media vendors. Vendor and Freelance Coordination •⁠ ⁠Assist in researching and sourcing external talent and vendors on a global scale •⁠ ⁠Ensure all vendors are properly onboarded, briefed on agency protocols, and paid on time. Agile Campaign Execution •⁠ ⁠Jump into the trenches during fast-paced sports and cultural campaigns, helping to traffic assets rapidly during live events, product drops, or real-time social reactions. •⁠ ⁠Troubleshoot minor logistical fires before they escalate to the Senior Producer. WHO YOU ARE •⁠ ⁠You are highly organized and sweat the small stuff, ensuring no email goes unanswered and no detail slips through the cracks. •⁠ ⁠You don’t wait to be told what to do; you anticipate what the team will need next and have it ready. •⁠ ⁠You are hungry to learn the mechanics of high-end agency production, eager to soak up knowledge from veteran Executive Producers. •⁠ ⁠You are calm in a crisis. When a timeline shifts or a file gets corrupted, you stay level-headed and focus on the solution. •⁠ ⁠You have a strong baseline understanding of digital file formats, and design terminology. WHAT YOU BRING •⁠ 3–4 years of experience in an administrative, coordination, or project-support role within a creative agency, production company, or media environment. •⁠ Brand marketing agency and/or experiential agency experience is required. •⁠ High proficiency in modern agency software (Google Workspace, Notion, Asana, Frame.io, etc.). •⁠ Basic financial literacy (experience processing invoices, logging expenses, or tracking timesheets). •⁠ Extreme attention to detail and excellent written communication skills. •⁠ Previous experience in sports, entertainment or lifestyle marketing is a bonus, but not required.
