Employment Type: Full timeShift: Description: Manager, Medical Records Location: Remote but must reside in the Philadelphia metro area Shift: Mon to Fri, 8 am to 5 pm Incentives: 1st Day Health Benefits Position Purpose: The Medical Records Manager oversees the daily operations of the Regional Medical Records Team. Working closely with the Director of Coding, Clinical Documentation & HIM, this role guides the team’s work with a focus on quality, accuracy, and accountability. The manager ensures all medical record processes meet PACE laws, rules, and regulatory requirements, and monitors performance through audits. They also keep team practices aligned with current industry standards and ensure operations run efficiently. This position directly supervises members of the medical records team. Position Information: Position is Remote but must reside in the Philadelphia metro area. Local travel required regularly to facilities in the Philadelphia metro area as well Pennsauken, NJ and Wilmington and Newark DE. Expected travel at least 2 days per week. Other travel may be required to support sites in Florida, Alabama, Indiana, Louisiana and Maryland as needed. What you will do: - Organize, maintain, and assume accountability of PACE Organization medical records system in compliance with corporate, state and federal regulations. - Responsible for managing the medical records team. - Maintain a documented and organized system, which is readily accessible for other professionals both electronically and by paper. - Attend workshops and seminars as needed and provide guidance and training to staff regarding medical record issues. - Maintains confidentiality of all medical records. - Participate in surveys and assist in development of a plan of correction for department deficiencies when necessary. - Maintains a working knowledge of applicable Federal, State, and local laws and regulations, TH PACE Corporate Integrity Program, Code of Ethics, as well as other policies and procedures in order to ensure adherence in a manner that reflects honest, ethical and professional behavior. Minimum Qualifications: - Bachelor’s degree in Health Administration or related field OR an Associate’s degree in RHIT (or related field) with 3–5 years of medical records experience. A combination of education and experience may also be considered. - 3–5 years of supervisory experience, including managing remote staff. - Notary Public certification preferred (or ability to obtain within 6 months). - Strong knowledge of medical terminology, documentation standards, anatomy, physiology, disease processes, and related technology. - Action‑oriented with strong business acumen, decision-making skills, conflict resolution skills, and the ability to adapt to change. - Strong interpersonal skills with the ability to collaborate across teams and work effectively in virtual environments. - Excellent written, verbal, and presentation skills; able to communicate with diverse groups both on-site and virtually. - Proficient in Microsoft Office (Word, Excel, PowerPoint) and email/calendar systems. Experience with electronic medical records required; EPIC preferred. - High level of accountability with strong planning, organizational, and independent decision‑making skills aligned with organizational mission and goals. - Exceptional organization and customer service skills; able to multitask, manage interruptions, and prioritize in a fast-paced environment. - Strong research, analytical, critical-thinking, and prioritization abilities. - Ability to travel up to 50% within the region. Case follow up: - Monitor and update vital status, cancer status, cancer recurrences and any additional relevant information utilizing all available medical records (internal or external), phone contacts, physician letters, other cancer registries and other agencies as appropriate. 4.
