Role Overview We are seeking a Business Systems Analyst (BSA) to serve as a critical connector between Teachstone’s business teams, systems, data, and IT operations. This role partners closely with stakeholders to rapidly onboard into our systems landscape, business processes, and data flows, ensuring that technology investments are structured for scale, governance, and long-term impact. The BSA translates business needs into clear system and data requirements while ensuring our platforms are well-architected, interoperable, and AI-ready. A core focus of this role is establishing and maintaining repeatable, well-governed system structures — including data standards, naming conventions, validation rules, metadata, and input practices — that support reporting integrity, operational efficiency, and advanced analytics (A1/AI initiatives). In addition to standard business systems analysis work, this role supports system renewal coordination and provides foundational IT support to ensure continuity, adoption, fiscal stewardship, and data reliability across Teachstone’s ecosystem. This position requires strong analytical thinking, systems-level perspective, comfort working across structured and unstructured data environments, and a detail-oriented approach to documentation and scalable design. The Business Systems Analyst plays a foundational role in: - Strengthening data quality and governance across platforms - Supporting AI-readiness (A1) by ensuring clean, structured, well-documented data inputs - Reducing operational friction through thoughtful system design - Enabling scalable reporting and analytics - Supporting cost discipline and vendor optimization By translating real business needs into practical system and data solutions, this role ensures that platforms are well-supported, cost-effective, interoperable, and positioned to support predictive, analytical, and automation capabilities over time. Just as importantly, the BSA reduces friction for staff by providing reliable support, strong documentation, and structured system governance — allowing teams to focus more time on serving educators and partners. This role is essential to building a scalable, AI-ready, well-governed systems ecosystem that supports Teachstone’s growth, impact, and long-term sustainability. Key Responsibilities Business Systems & Data Analysis - Partner with stakeholders to gather, document, and validate business, system, and data requirements. - Translate business needs into functional specifications, user stories, process flows, and data models. - Document system interactions, integrations, and data flows across platforms. - Support system implementations, enhancements, and integrations, including requirements coordination, testing, and user acceptance. - Analyze current-state workflows and data structures to recommend improvements that enhance efficiency, reporting integrity, and user experience. - Ensure data definitions, field mappings, validation rules, and metadata are clearly documented and consistently applied. - Support initiatives that improve AI-readiness (A1), including strengthening structured data capture and governance standards. - Serve as liaison between business teams, IT, and data engineering resources to ensure alignment and clarity. Systems Administration & Enablement Support - Support day-to-day administration of key business systems (e.g., Airtable, contractsafe, Document management system, etc) as appropriate. - Assist with user access requests, basic configuration updates, and troubleshooting within supported systems. - Coordinate system testing, release validation, and documentation for enhancements and updates. - Develop and maintain user-facing documentation, training materials, and process guides. Systems Renewals & Vendor Coordination - Support the management of software renewals, including tracking renewal dates, license counts, usage, and contract terms. - Partner with Finance, IT, and system owners to support renewal planning, usage reviews, and vendor communications. - Help ensure systems are appropriately licensed, cost-effective, and aligned with business needs. - Maintain accurate records of system ownership, contracts, and renewal timelines. Basic IT Support & Operational Coordination - Provide backup to tier-one and tier-two support for common IT issues, escalating to IT specialists or vendors as needed. - Assist with onboarding and offboarding processes related to system access and tools. - Support basic hardware, software, and account troubleshooting in coordination with IT. - Help maintain IT documentation, support workflows, and service request processes. Continuous Improvement & Cross-Functional Support - Identify opportunities to improve system usage, adoption, and support processes. - Contribute to standardization of documentation, intake processes, and change management practices. - Support cross-functional initiatives that span systems, data, and operational workflows. Qualifications - Bachelor’s degree in Business Administration, Information Systems, Computer Science, or equivalent experience. - 3–5 years of experience in a Business Systems Analyst, Systems Analyst, or related role. - Demonstrated experience gathering requirements, documenting processes, and supporting system implementations. - Familiarity with SaaS platforms (e.g., CRM, LMS, finance, HR, or collaboration tools). - Experience supporting software renewals, vendor coordination, or license management preferred. - Basic IT support experience, including user access management and troubleshooting, is a plus. - Strong analytical, organizational, and problem-solving skills. - Clear communicator with the ability to work across technical and non-technical teams. - Comfortable managing multiple priorities in a fast-paced, cross-functional environment. Familiarity with Agile or iterative delivery methods is a plus - Experience with Google workspace tools and automations a plus What We Offer: Fair, Competitive Pay: We ensure equal pay for equal work, using consistent salary bands based on market benchmarks, reviewed annually.
