Job Description: Performs a variety of confidential administrative and transactional support duties for Canada and U.S. to ensure timely and accurate data entry and retrieval. Conducts additional support services provided by HR Operations team to ensure efficient processing and standardized approach across related activities. This position will act as the first contact for employee inquiries and collaborate with Senior Specialists on any complex concerns and are escalated accordingly. HR Operations Specialist will provide a response to the employees as per the agreed service level agreements and maintain professionalism throughout the interactions. Key Job Responsibilities - Manage incoming inquiries, issues, and work requests related to HR policies, and standard HR processes and HR transactions. Provide guidance to employees and managers on self service transactions, Workday navigation, and policy interpretation. - Deliver on established standards and procedures for handling employee questions, transactions and administration of human resource programs, policies and processes. - Escalate and collaborate on issues, where required, through a formalized issue/inquiry escalation process within HR Operations. Responds, escalates, and redirects (if needed) to basic inquiries related to employee personal and job data, absence, time & attendance, health services, benefits, employment verification, performance management, and learning / training. - Stay abreast with the policy and process changes in all areas of HR and utilizes reference materials to assist in responding to employees. - Work with the HR operations leads and proactively review current processes for efficiency and identify improvements, standard operating procedures (SOPs), and best practices. - Enter or retrieve data into/from Workday or other Management systems as required and follow-up to correct errors or missing/insufficient data. - Provide Transactional support for Talent Acquisition, Total Rewards (Compensation and Benefits), Time and Absence. Performs scripted processes and transactions; basic program support including new hire transactions, benefit inquiries, disability management administration, employee records, standard termination processes including outplacement, exit interviews, notifications, etc. Submit job catalogue/job profile updates to HRIS per inputs received from the compensation team. Perform employment data updates (and corrections) and other relevant transactions in Workday and other Boyd Management systems (CCC1 and ASE). e.g. new hires, terminations, life event changes, promotions, transfers, department changes, role changes, adding or changing locations, assigning geo diff. Provide support on TA transactions i.e. application tracking, background checks, preparing offer letter materials, if required. Prepare basic standardized letters for employee transactions (e.g. Retirement, resignation, promotions, absence management etc.). Provide L&D Workday access support as needed (to consult with Ellen). - Runs and audits standardized regularly scheduled or ad hoc reports (eg vacation carry over, excessive overtime, geo diff); in addition, monitors report requirements and coordinates updates with appropriate stakeholders. - Administer and maintain HR Shared Services activities along with in-scope transactions such as accurate standard reports regarding HR shared service performance and utilizing customer service components of HR Shared Services to include functionalities such as email availability, telephony, chat call handling, correspondence, and inquiry management. Log all contacts, support inquiries and transactions, and maintain records. Conduct weekly status reports of open problem tickets and service requests. - This is not to be considered all inclusive of job duties and responsibilities.
