Human Resources Assistant
Snohomish County
Role Description To perform a variety of support functions in the service of the Human Resources department while actively contributing to an inclusive and cooperative team environment. In this role, you will provide key administrative support by managing records, coordinating scheduling, and processing employee information in the County’s HR systems. This position plays an important part in maintaining accurate data, supporting efficient workflows, and helping ensure timely and organized service to employees, departments, and HR staff. Qualifications - Demonstrated experience with data entry and records processing - Strong attention to detail and accuracy - Strong organizational and scheduling skills - Strong verbal and written communication skills - Strong customer service skills Requirements - Three (3) years of general office experience; OR, any equivalent combination of training and/or experience that provides the required knowledge and abilities. - Must pass job related tests. - Must sign a confidentiality agreement as a condition of employment. Benefits - This position is currently funded through December 31, 2026, with the potential for extension. - Job offers are contingent on successful completion of employment verification and background checks. - Snohomish County will not sponsor or take over sponsorship of an employment visa for this opportunity. Job Duties - Assist human resource staff in administering a variety of human resource functions; independently perform a variety of human resource duties in assigned functional areas. - Enter employee information into payroll system and employee database; retrieve information from Human Resources Information System (HRIS); process and validate record changes, actions, and employee related paperwork; proof and correct work entered. - Professionally and respectfully respond to inquiries and provide timely, reliable, and accurate information about organizational and other human resource rules, policies, regulations or procedures; receive and verify requests from employees or members of the public. - Process, review, ensure the accuracy and completeness of, compile and/or maintain human resource data, documents, and files. - Enter and/or retrieve data and create spreadsheets from HRIS or other computerized recordkeeping systems; research inaccuracies; initiate corrective measures as necessary; and escalate as needed. - Compile data and prepare reports, statistics and statistical summaries, narrative summaries or graphic representations of data under supervision. - Provide organizational and administrative support to long term, ongoing projects and/or assignments which require specialized knowledge and understanding of technical details within an assigned department. - Develop and implement internal office procedures; recommend changes in procedures or rules to facilitate effectiveness. - Schedule meetings, trainings, and other human resources events; coordinate departmental activities and provide required assistance. - Maintain confidentiality of all personnel, payroll, accounting and finance records and reports along with any other records, reports and/or information deemed to be sensitive in nature. - Performs related duties as assigned. Knowledge and Abilities - Knowledge of standard office practices and procedures. - Knowledge of computerized applications, such as HRIS, Microsoft Office and other related systems and software. - Knowledge of records processing and filing. - Ability to work professionally and respectfully with diverse groups of individuals (internal and external), elected officials, and the general public. - Ability to communicate in writing and verbally to a diverse group of individuals in a clear, concise and logical manner. - Ability to work collaboratively in a team environment. - Ability to actively participate and contribute to team discussions and goals. - Ability to proactively use independent judgement to research and resolve problems in accordance with established rules, policies, regulations or procedures; recognize the need to ask for additional help when needed. - Ability to prioritize and appropriately schedule assignments or tasks to meet established deadlines. - Ability to provide attention to detail to ensure accuracy. - Ability to review the accuracy of records and data, exercise decision making authority and initiate corrective action within established guidelines. - Ability to learn and explain complex practices and procedures. - Ability to independently learn and utilize new technologies. Supervision Employees in this classification receive supervision from an administrative superior as assigned. Work is reviewed to ensure timely completion and accuracy. Working Conditions The work is performed remotely and in an office environment and may include field trips to outlying areas. This is a high volume, time sensitive position with a Monday through Friday schedule. Approval of vacation leave requests is dependent upon payroll deadline schedule. Essential Functions & Responsibilities - Performs System Administrator duties for HRIS system to include system maintenance, updates, release testing, and new feature implementation. - Manages execution of projects from requirement gathering, configuration, user acceptance testing, communications, and development of training tools. - Conducts continuous improvement projects to optimize system performance such as workflows, integrations, automated alerts, data flow, process execution and data integrity. - Develops complex ad hoc queries and customized reports to meet user needs; ability to analyze data, assess for accuracy, draw conclusions and provide recommendations. - Creates and maintains end user documentation ensuring a concise and professional presentation of materials. - Works closely with HRIS vendor to resolve issues, opens service request tickets and ensures resolution on open items. - Partners closely with key stakeholders to gain insight into how the system is utilized to help resolve issues and identify process efficiencies. - Provide general customer service to end users, researching and resolving issues. - Serves as back up for other HRIS staff, including conducting routine system maintenance and cyclical tasks. - Additional projects and duties as assigned. Qualifications - Bachelor’s degree in Business Administration, IT, Human Resources, or related field (equivalent experience may be substituted for degree). - 2+ years’ experience in HRIS with progressive responsibilities; experience leading projects preferred. - UKGPro/WFM experience strongly preferred; Experience with Workday, UKG, ADP, Oracle, SAP, etc. a plus. - Cognos, Business Intelligence experience strongly preferred. - Advanced Microsoft Office skills, especially Excel (Pivot Tables, vLookups, etc.). - Strong analytical skills with ability to interpret data, detect trends, draw conclusions, and formulate recommendations. - Comfort with change, flexibility to adapt to changing initiatives. - Strong attention to detail; ability to work independently and as part of a team. - Excellent communication and problem-solving skills. - Ability to maintain HR information in the strictest possible confidence.
