Job Description

Executive Assistant – Clinical Director

Insight Therapy Solutions

• Manage the Clinical Director’s calendar, including scheduling clinical, operational, and cross-departmental meetings. • Coordinate meeting logistics, prepare agendas, and ensure the Clinical Director has the relevant materials in advance. • Support daily administrative needs so the Clinical Director can focus on leadership priorities and operational oversight. • Help organize tasks, deadlines, and follow-ups to maintain a structured workflow. • Monitor incoming communications for the Clinical Director and ensure messages are addressed or routed appropriately. • Act as a coordination point between the Clinical Director and teams such as Front Desk, Marketing, Clinical HR, Credentialing, Billing, and Finance. • Track requests, decisions, and action items to ensure timely follow-through. • Help maintain clear communication across departments when initiatives involve multiple teams. • Attend meetings when requested to capture key discussions, decisions, and assigned tasks. • Prepare and distribute meeting minutes while maintaining organized records for future reference. • Gather regular operational updates from internal teams and compile summaries for the Clinical Director. • Maintain structured documentation that supports transparency and accountability across projects. • Conduct research on tools, platforms, or resources that could support clinical operations or improve internal processes. • Assist with tracking internal initiatives and cross-departmental projects. • Help monitor the progress of ongoing operational priorities and flag potential delays or issues when needed.

Job Requirements

  • 2 years of experience in an Executive Assistant, Operations Coordinator, or similar administrative support role.
  • Experience supporting senior leadership, department heads, or operational leadership.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication in English.
  • Ability to handle sensitive information with professionalism and discretion.
  • Strong documentation and note-taking skills.
  • Comfortable working in a fully remote environment with distributed teams.
