Outsourcey
• Project & Bid Support: Review incoming bid opportunities, research job details, gather plans and specifications, and help prepare materials needed for bid submissions. • Outreach & Opportunity Sourcing: Support outreach efforts to identify new commercial construction jobs, vendor opportunities, and project leads aligned with current capacity. • Estimating Coordination: Coordinate with external estimating services and vendors to request estimates, follow up on pricing, and ensure bids are returned on time. • Plan & Document Review: Organize and review construction plans, scopes of work, and job documentation to ensure accuracy and readiness for estimating and execution. • Administrative Construction Support: Provide flexible administrative support across active and upcoming projects, adapting to shifting priorities as needs arise. • AI & Tool-Assisted Research: Use AI tools and modern software to assist with bid research, document analysis, organization, and process efficiency where appropriate. • Ad Hoc Tasks: Handle general administrative duties as needed to support team objectives and project completion.
Job Requirements
- Commercial Construction Experience: Minimum 2.5-5 years of experience in construction administration, project support, estimating support, or a related commercial construction role.
- Industry Knowledge (Required): Strong understanding of construction workflows, bidding processes, plans, scopes, and coordination between contractors and estimators.
- Administrative Adaptability: Proven ability to support a wide range of tasks as they come up, without rigid role boundaries.
- Bid & Estimation Familiarity: Experience reviewing bids, assisting with estimates, or coordinating pricing with vendors or estimating partners.
- AI & Tech Comfort: Comfortable experimenting with or using AI tools and software to support research, organization, and operational efficiency.
- Attention to Detail & Communication: Highly organized, detail-oriented, and able to communicate clearly with estimators, vendors, and internal stakeholders.

Role Description The Ministry Operations Coordinator provides behind-the-scenes administrative and digital support for our ministry and media clients. This role focuses on website and content audits and updates, routine reporting, digital file management, and general administrative tasks, with some light video and contract support as needed. You’ll help keep projects organized and running smoothly by handling the operational details that support our ministry partnerships. This position can be remote. Responsibilities - Conduct regular website and content audits, checking links, content accuracy, and formatting, and flagging issues to the team. - Pull and update regular reports and stats; maintain tracking spreadsheets and dashboards. - Compile and update lists (e.g., contacts, partners, content lists), format files and keep shared files organized. - Provide general administrative support to ministry and media teams, including file management, data entry, and scheduling support as needed. - Download, upload, and organize video content across platforms; perform minor edits (trimming, simple cleanup) as needed. - Create internal tickets and assist in setting up digital advertising or promotions by entering information and assets provided by the team. - Update PowerPoint presentations and other documents with new copy, images, and stats. - Prepare and format basic contracts using existing templates and track their status as needed. Qualifications - Strong attention to detail, organization, and follow-through. - Comfort using the internet, browser-based tools, and Microsoft Office or Google Workspace (especially Word/Docs, Excel/Sheets, and PowerPoint/Slides). - Willingness and comfort using AI-powered tools (for drafting text, organizing information, or basic edits) with training and clear guidelines. - Ability to learn new software (video tools, reporting dashboards, content systems) with training. - Clear written communication skills; able to follow instructions and document work accurately. - Ability to manage your time, work independently in a remote setting, and support a collaborative team. - Comfort working with faith-based and politically conservative clients and content, regardless of your personal beliefs. - Must be at least 18 years of age and hold a high school diploma or equivalent. - Prior administrative or digital media experience is helpful but “not required”; training will be provided.
