The ideal candidate is highly organized, detail-oriented, and comfortable working independently while engaging cross-functionally. - Coordinate proposal schedules, compliance matrices, outlines, and annotated outlines in partnership with Proposal Managers. - Manage proposal repositories (e.g., SharePoint, Teams) to ensure version control, security, and proper documentation. - Track progress against milestones, identify potential risks or delays, and recommend corrective actions. - Organize logistics for kickoff meetings, daily standups, color team reviews, and executive reviews. - Serve as the primary liaison for proposal contributors, including SMEs, partners, and subcontractors, issuing and tracking data calls. - Integrate inputs from multiple contributors, ensuring completeness and compliance with RFx requirements. - Support drafting and formatting of non-technical content, including resumes, past performance, and organizational charts. - Coordinate with graphics and production teams for final assembly, quality checks, and submission readiness. Qualifications - Bachelor’s degree preferred (Business, Communications, English, or related field) or equivalent experience. - 2–5 years of experience in proposal coordination, ideally within Federal or DoD contracting environments. - Familiarity with DoD/Federal acquisition processes and APMP/Shipley methodologies. - Proficiency in collaboration and compliance tools (SharePoint, Teams, Adobe Acrobat) and willingness to leverage AI-enabled tools. - Strong organizational and analytical skills, with the ability to evaluate inputs independently and recommend corrective actions. - Excellent communication skills and ability to collaborate effectively across cross-functional teams. - U.S. citizenship required; ability to obtain a clearance may be necessary. - Detail-oriented, proactive, and able to manage multiple deadlines in a fast-paced environment.
