Role Description The role of the Professional Services Coordinator is responsible for the coordination and scheduling of our service, lighting, rental & production, CTE, and rigging field teams. This position will focus on customer service and operational support of our field teams. A successful candidate will be a motivated individual who is interested in providing best in class customer service and has the organizational skills to manage multiple activities. - Respond to customer inquiries and repair requests via phone, email, or ticketing system. - Responds to tickets within first response window parameters. - Assign tickets to service technicians based on availability and knowledge of the issue. - Follow up on tickets and maintain quality notes about the issues/solutions/resolutions. - Coordinate schedule of field teams (Lighting, Service, Rental & Production, CTE, and Rigging) using calendar software. - Track all customer property in our possession and ensure communication flow with customers regarding their repairs. - Document and track products sent back to third party vendors for repair. - Provide invoicing support for field service team, creating orders and invoices in QuickBooks to ensure timely and accurate billings. - Provide operational support for field service teams to include ordering materials, coordinating shipping and receiving service materials. - Maintain and file proper records for service team members such as closeout documents, as built drawings, and inventory of parts and repair equipment, supplies and tools. - Participates in internal department meetings when requested to understand project requirements, timelines, and labor needs, to coordinate and schedule internal and external field resources accordingly. Qualifications - Must have a high school diploma or equivalent. - Must have excellent communication skills (both written and verbal). - Must have good organizational skills, being prompt and accurate. - Ability to organize, prioritize, and follow direction. - Must be able to pass a drug screen and background check. The employee will regularly use standard office equipment such as computers, phones, printers, and plotters. Occasionally movement within the office is required to access files, attend meetings, and collaborate with team members. On occasion, the employee may need to lift or carry equipment or materials weighing up to 50 lbs.
