Position Title: Relocation Expense Manager Department: Relocation Expense Management (REM) Reports To: VP, Expense Management / Operations Leadership Location: Flexible (Office-based or Remote) Summary The REM Expense Manager oversees the full lifecycle of relocation expense processing, auditing, compliance, and reporting across assigned client portfolios. This role ensures accuracy, timeliness, and policy compliance in all expense-related operations both domestically and globally. The manager leads a team of REM Analysts, provides subject-matter expertise on relocation tax, gross up and payroll requirements, and collaborates cross-functionally to support clients, internal teams, and external partners. The ideal candidate is detail-oriented, highly organized, and skilled at balancing analytical tasks with client-facing responsibilities. Essential Duties & Responsibilities (other duties may be assigned): Leadership & Oversight - Lead, mentor, support and back up REM Analysts responsible for client expense processing. - Assign workload, monitor performance, and ensure team adherence to internal controls and service-level expectations. - Provide training on systems, processes, compliance standards, and policy updates. Expense Management & Audit - Oversee accurate processing, auditing, and classification of transferee expenses and supplier invoices. - Ensure all expense activities comply with client policies, IRS regulations, and relocation tax guidelines. - Approve complex, high-dollar, or exception transactions. - Routine audits of clients’ reporting. Client & Stakeholder Management - Serve as the primary escalation point for client inquiries related to expense management, payroll reporting, gross-ups, and year‑end processes. - Participate in client reviews, program calls, and implementation meetings. - Advise clients on best practices related to relocation expense administration and payroll handling. Payroll & Tax Coordination - Oversee timely preparation and delivery of payroll reports, including year‑end taxable compensation files. - Collaborate with payroll teams, tax advisors, and client contacts to ensure accurate reporting of taxable and non‑taxable relocation benefits. - Monitor gross-up calculations, withholding practices, and W‑2 reporting impacts. Process Improvement & Compliance - Identify process gaps and recommend enhancements to workflow efficiency, automation, audit practices, and quality control. - Maintain strong internal controls around payment accuracy, documentation, and audit trails. - Support compliance initiatives and participate in system configuration discussions and testing as needed. Cross-Functional Collaboration - Partner with Accounting on receivables, funds-on-deposit monitoring, and payment timing. - Work closely with Operations, Client Relations, and Implementation teams to support seamless program delivery. - Support proposal development or new business opportunities through subject-matter guidance. Reporting & Analytics - Monitor expense trends, audit results, processing volumes, and service-level performance. - Prepare internal and external reports as needed to support operations and client management. Qualifications & Experience - 5+ years in relocation expense management, payroll, accounting, or related field. - 2+ years leadership or team supervision experience preferred. - Strong knowledge of relocation tax law, payroll processes, gross-up methodology, and W‑2 implications. - Demonstrated expertise in auditing, expense classification, and multi‑currency processing. - Proficiency in Microsoft Office Suite and internal expense/payroll systems. - Excellent communication skills, both written and verbal. - Strong client-service orientation with the ability to manage escalations with confidence. - High level of accuracy, organization, and professional integrity.
