• Administer all health & welfare, retirement, and ancillary benefit programs • Maintain accurate benefit configurations within HRIS and payroll systems • Ensure employee deductions and employer contributions are correctly calculated and transmitted • Reconcile payroll deduction files to carrier invoices and identify discrepancies • Audit 401(k) contributions and support timely remittance • Manage eligibility feeds and troubleshoot carrier file transmission issues • Pull, analyze, and compare reports across systems to validate data integrity • Diagnose root causes when discrepancies arise and resolve issues independently when appropriate • Escalate compliance-sensitive, financially material, or systemic issues to leadership • Serve as primary operational contact with benefits broker and carriers • Resolve claim issues, eligibility errors, billing discrepancies, and enrollment problems • Track open issues to resolution and ensure clean follow-through • Support annual open enrollment logistics and implementation of approved plan changes • Coordinate required filings and documentation in partnership with broker and leadership • Serve as primary point of contact for employee benefit questions • Provide clear, empathetic guidance during complex or sensitive situations (claims, life events, coverage issues) • Translate technical benefit language into practical next steps • Troubleshoot issues across payroll, HRIS, and carrier platforms on behalf of employees • Maintain professionalism and discretion in high-emotion or high-stakes situations • Recognize patterns in employee concerns and recommend operational improvements • Maintain plan documents, notices, and required employee communications • Support compliance with ERISA, ACA, COBRA, Section 125, and related regulations • Assist with annual filings (e.g., Form 5500) and audits • Ensure documentation and processes meet internal control standards
Job Requirements
- 5+ years of hands-on benefits administration experience
- Strong understanding of health & welfare and retirement plan operations
- Experience reconciling payroll deductions and carrier invoices
- Ability to pull and analyze reports across HRIS, payroll, and vendor systems
- Experience working directly with brokers and insurance carriers
- Strong troubleshooting and root-cause analysis skills
- Professional, steady presence when supporting employees through complex issues
- Experience in a multi-state environment
- Familiarity with benefits-related payroll compliance
- HRIS and payroll system configuration experience
- CEBS, SHRM-CP/SCP, or similar certification
