Role Description As part of the Marketing team, you will support the end-to-end development of high-quality, compliant, and competitive proposals in response to government and commercial procurements and/or solicitations. The Proposal Writer will collaborate cross-functionally to manage proposal strategy, content development, compliance, and submission, ensuring alignment with government procurement standards and Machinify’s business objectives. - Support full lifecycle of proposal development for commercial and government customers, including federal and state procurements, to include RFPs, RFIs, RFQs, and ITB. - Lead cross-functional proposal teams to meet strict deadlines and ensure compliance with solicitation requirements. - Ensure proposals meet all technical, legal, and regulatory requirements, including customer-specific guidelines. - Develop compelling, compliant, and tailored proposal content that clearly articulates Machinify’s value proposition. - Collaborate with legal, finance, operations, and subject matter experts to gather and synthesize information into cohesive responses. - Support proposal reviews, approvals, and final submission processes, including electronic portals (e.g., procurement systems). - Ensure proposal process follows Machinify’s format. - Maintain proposal content library, including boilerplate content and reusable assets, to improve efficiency and consistency. - Conduct regular content reviews with subject matter experts in Machinify’s proposal management tool, including post-submittal updates to existing library content as appropriate. - Ensure confidentiality and compliance with information security protocols throughout the proposal process. Qualifications - Bachelor’s degree in business, marketing, communications, or related field (or equivalent experience may be considered). - Strong business acumen with the ability to quickly learn, align with, and communicate Machinify’s business. - Exceptional writing, editing, and communication skills with the ability to translate technical content into persuasive narratives. - Strong written communication proficiency, including technical and professional writing/editing, as well as developing presentation materials used for sales and other external audiences. - Minimum 2 years of experience in proposal writing (equivalent experience may be considered). - Strong project management skills, including scheduling, resource coordination, decision-making, continuous process improvement, and milestone tracking. - Strong analytical and critical thinking abilities with a process-oriented mindset. - Experience leading multiple simultaneous projects under tight deadlines and shifting priorities. - Ability to work independently and collaboratively in a fast-paced, deadline-driven environment. - Experience in healthcare is a plus. - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). - Demonstrate initiative, adaptability, and innovation to drive excellent results.
