The Role TIME Studios is seeking a highly organized and proactive Coordinator to support the day-to-day administrative and operational needs of the Studios team. This role will primarily support senior leadership and help manage the fast-moving coordination, scheduling, communication, and production logistics that keep the department running efficiently. The ideal candidate thrives in a high-volume, fast-paced production environment and understands the demands of creative teams, production schedules, and studio operations. This is an administrative-heavy role best suited for someone with strong organizational instincts, exceptional attention to detail, and prior exposure to production environments such as agencies, networks, studios, or production companies. Responsibilities - Provide administrative support to TIME Studios leadership, including complex calendar management, scheduling, meeting coordination, and travel arrangements. - Coordinate day-to-day team operations, communications, and departmental logistics across multiple projects and stakeholders. - Organize meetings, conference calls, agendas, notes, and follow-ups for internal and external partners. - Support production logistics for shoots, edits, screenings, events, and team operations as needed. - Manage departmental tracking documents, contact databases, production files, and organizational systems. - Process and reconcile expenses, invoices, purchase orders, and production-related paperwork. - Coordinate travel, studios, edit bays, equipment rentals, freelancers, and other production resources. - Assist with vendor coordination, Certificates of Insurance, release tracking, and other production administration tasks. - Help maintain efficient workflows and operational organization across the Studios team. - Provide occasional support for post-production coordination, asset management, and creative deliverables. Qualifications - 1+ years of experience in an administrative, coordinator, assistant, production assistant, or production support role within media, entertainment, agency, studio, network, or production environments; strong internship experience considered. - Understanding of production workflows and the pace of creative or production-driven organizations. - Exceptional organizational, multitasking, and time-management skills with strong attention to detail. - Ability to prioritize effectively and remain calm under tight deadlines and shifting priorities. - Strong written and verbal communication skills. - Proficiency with Google Workspace, Airtable, Frame.io, and other collaboration/project management tools. - Self-starter with strong follow-through, professionalism, and problem-solving instincts. - Comfortable working both independently and collaboratively in a fast-paced team environment. Preferred Background - Experience supporting executives, producers, or production teams in fast-paced environments. - Agency, production company, network, studio, or unscripted television experience preferred. - Experience as a Production Assistant, Executive Assistant, or Coordinator supporting creative and production teams. - Familiarity with production operations, scheduling, post-production workflows, and production logistics.
