RESPONSIBILITIES: Responsibilities typically fall into a few core areas: Interview Scheduling & Coordination - Provide support to the Talent Acquisition team in all recruitment related activities including scheduling candidate phone screens and interviews, communication with hiring managers, tracking headcount status. - Coordinate calendars between candidates, recruiters, hiring managers, and interview panels - Manage reschedules, cancellations, and last-minute changes with professionalism and urgency - Assist with resume review, phone screens, and interviewing as needed Candidate Experience & Communication - Serve as a primary point of contact for candidates during the interview process - Send interview confirmations, reminders, and follow-ups - Answer candidate questions about process, timing, and logistics - Maintain a polished, consistent employer brand voice - Ensure candidates feel informed, respected, and supported throughout the process - Facilitate new hire onboarding and orientation as needed Recruiting Operations & Administration - Maintain accurate candidate records in the ATS (status updates, notes, dispositions) - Track interview progress and ensure compliance with hiring workflows - Support background checks, references, and pre-employment steps as needed Reporting, Compliance & Process Support - Support EEO, OFCCP, GDPR, and internal compliance requirements - Ensure interview documentation is completed and stored correctly - Identify process gaps and suggest improvements to scheduling or candidate flow Stakeholder & Team Support - Partner closely with recruiters, hiring managers and HR - Act as a reliability anchor during high-volume hiring or peak periods - Support recruiting events, hiring days, and campus/interview programs - Assist with onboarding coordination handoff to HR team General Administrative Tasks - Create and maintain templates for candidate communications - Support vendor coordination (background check providers, scheduling tools) YOU SHOULD HAVE: - 2-3 years’ experience supporting a Human Resources or Recruitment team - Associates or Bachelor’s degree in Human Resources Management or related field - Effective verbal and written communication skills within all levels of the organization and with the public - Working knowledge of state / federal labor and hiring laws - Excellent interpersonal and customer service skills. - Excellent organizational skills and attention to detail. - Strong project management skills with a proven ability to meet deadlines. - Ability to effectively prioritize workload on multiple projects & tasks simultaneously. - Displays strong critical thinking and analytical capabilities. - Ability to function well in a high-paced and at times stressful environment. - Ability to maintain high levels of confidentiality. - Proficient with Microsoft Office Suite, Google Suite or related software. - Ability to learn new software programs quickly WHAT YOU CAN EXPECT IN RETURN - Full time position - Opportunities for growth and development - Health & Dental Insurance (choice of plans) - 100% Employer paid short-term disability and life insurance - Opportunity to elect additional life insurance and LTD insurance at employee expense - Paid parental leave - Opportunity to contribute pre-tax dollars to flexible spending accounts - 401(K) with employer match - Flexibility in work schedules - Generous time off HOW WE’LL TAKE CARE OF YOU Our job titles may span more than one career level.
