Client Project Coordinator – Contractor

• Build comprehensive pre-meeting briefing documents for every enterprise client call, including account history, open items, health indicators, recent activity, and talking points • Prepare and distribute agendas, capture detailed meeting notes, and produce action item summaries with clear owners and due dates • Maintain and update shared client project trackers (Monday.com, Google Suite) before and after every client interaction so records are always current and accurate • Own the full follow-up loop on open Jira tickets tied to client requests—tracking status, surfacing blockers, escalating stalled items, and communicating ETAs back to the VP/AM. • Triage and route inbound client requests from Zendesk and email to the correct internal teams (Product, Engineering, Support, Billing), confirming receipt and tracking to resolution • Chase outstanding internal deliverables proactively, ensuring commitments made to enterprise clients are fulfilled on time • Serve as the connective tissue between the VP/AM and internal stakeholders, reducing friction and keeping initiatives moving • Maintain accurate, up-to-date records in Salesforce for all enterprise accounts: contact information, activity logs, opportunity stages, and renewal timelines • Log all client interactions, internal handoffs, and resolutions to ensure a complete and auditable account history • Generate standard CS reports and dashboards from Salesforce, Looker, and Monday.com to support weekly reviews and leadership updates • Flag data gaps or inconsistencies in account records and drive cleanup efforts across the team's book of business • Document all coordination workflows, follow-up cadences, meeting prep routines, and recurring task patterns in a structured, reusable format in Confluence • Build and maintain an operational playbook for the CS team that captures how strategic accounts are managed day-to-day • Identify patterns in recurring tasks and proactively flag opportunities for process improvement, templating, or automation

Senior Marketplace Operations – Capacity Planning Manager

• Own all clinician capacity planning & staffing strategy across client programs, modalities, and clinician types • Design staffing strategies, hiring plans, and financial budgets across all client programs • Model multi-skill workforce requirements across queues, states, and specialties — accounting for SLA targets, shrinkage, attrition, and scheduling constraints • Identify supply/demand gaps and convert them into actionable recruiting targets in partnership with Clinical Recruiting and Provider Ops • Support and inform the continuous build and improvement of Wheel's demand forecasting function — providing real-time operational feedback on actuals vs. forecast to sharpen model accuracy and drive better planning outcomes • Develop scenario and sensitivity models to support growth planning, new launches, and rapid change • Reforecast regularly and proactively surface risks and variances to leadership • Partner directly with Marketplace leadership and commercial team on new deal staffing/supply evaluation — model staffing implications, P&L impact, and operational feasibility before contracts close • Build and own ROI and workforce composition analyses (W-2 vs. 1099 tradeoffs, blended models, incentive structure impact) to inform strategic workforce decisions • Translate complex modeling outputs into clear, executive-ready recommendations for the VP of NetOps, CFO, and CEO • Pull, transform, and analyze large datasets from WFM tools, operational systems, and product data using SQL, Python, or R — independently, without relying on a data team • Build reusable, scalable modeling frameworks that accommodate program-level customization • Own monthly business review materials — data, narrative, and presentation — for senior leadership audiences • Design licensing and collaborative agreement strategies as part of the holistic staffing plan — translating capacity model outputs into state-level licensure requirements and collaboration targets by clinician type • Support scheduling, real-time monitoring, and day-to-day operational oversight • Manage WFM software configuration and forecasting tools; know their limits and build around them • Partner with Finance on COGS budgeting and clinician pay activities

You could have the opportunity, based on experience and interest, to provide care in a number of programs such as: - Primary Care - Urgent Care - Women’s Health - Men’s Health - Weight Management - Dermatology - Pediatrics What You’ll Do: - Deliver high-quality, evidence-based asynchronous and synchronous virtual care. - Review comprehensive patient intake information, including medical history, medication lists, and patient-submitted photos, to ensure safe and appropriate prescribing decisions. - Conduct thorough clinical assessments aligned with Wheel clinical guidelines, utilizing clinical snippets and workflows to tailor education and treatment plans. - Prescribe medications responsibly, ensuring alignment with patient eligibility, formulary guidance, and safety parameters such as blood pressure ranges, contraindicated medications, and clinical red flags. - Document each patient encounter using a complete and structured SOAP note, including rationale for prescribing or referring, patient counseling, and follow-up recommendations. - Engage in clear and compassionate communication with patients through secure messaging or live video visits, maintaining a professional and supportive web-side manner. - Refer patients to in-person care when clinical guidelines are not met, documenting rationale and providing clear patient instructions. - Maintain compliance with quality assurance standards, incorporating feedback from periodic chart audits and actively participating in continuous improvement efforts. - Escalate urgent clinical concerns such as suicidal ideation or harassment according to platform protocols, ensuring patient safety and clinician protection. - Collaborate with Wheel’s clinical operations team for onboarding, platform support, and guideline updates to ensure consistent, high-quality care delivery. Qualifications - Board-certified physician (MD or DO) from a US-accredited medical school. - Board-certified in Family Medicine, Internal Medicine, or Emergency Medicine. - Actively licensed in CA or TX. - 2+ years of clinical experience in emergency, urgent care, or family medicine/primary care experience. - Experience/comfortability providing medical weight management. - Available a minimum of 10 hours per week. - Required hours for TX: midday (11AM–5PM CT) AND evening (7PM–midnight CT). - Required hours for CA: 8PM–10PM CT (6–8PM PT). - Ability to perform both synchronous and asynchronous consults. - At least 1 year of telemedicine experience preferred. - Experience treating pediatric patients preferred. - Outstanding clinical expertise. - Strong verbal and written communication skills. - Comfortable with technology. About the Role The Clinical Quality Lead is a key individual contributor responsible for executing and optimizing Wheel’s quality assurance and patient safety processes across clinical programs. Reporting to the Senior Manager of Clinical Quality and Safety, this role owns clinician performance workflows, incident response documentation, cross-functional quality projects, and quality reporting. The ideal candidate is a detail-oriented, systems-minded clinician who thrives on tactical execution and cross-functional collaboration in a telemedicine environment. What You'll Do Quality Improvement & Assurance - Own the end-to-end execution of clinician chart audits, including manual audit uploads, watchlist tracking, and spearheading the roll-out and long-term program management of AI-driven audit workflows. - Coordinate with Clinician Success Leads (CSL) to post-refresher chart reviews and performance improvement plan (PIP) documentation - Support the Quality Assurance Committee (QAC), including clinician case preparation, meeting documentation, and tracking of QAC outcomes - Create and maintain clinician education materials in Skilljar - Own snippet and guideline editing to ensure clinical content remains up to date and actionable Clinical Incident & Risk Management - Investigate clinical incidents, conduct chart audits, and collaborate on root cause documentation and recommendations - Draft corrective action language and contribute to safety policy updates - Assist with internal documentation and reporting on safety trends Metrics, Reporting & Communication - Track and synthesize quality, safety, and clinician performance metrics using manual and automated tools - Collaborate with BI and R&D to streamline dashboards and audit reporting workflows - Contribute to client-facing quality reports and QBR materials - Monitor antibiotic stewardship trends and surface system-level insights Cross-Functional Collaboration - Drive cross-functional initiatives as a tactical liaison across Clinical Operations, Network Operations, R&D, Business Intelligence, and Customer Success, taking independent initiative to solve bottlenecks and secure necessary alignments. - Independently troubleshoot and unblock operational hurdles or communication delays with internal teams and contract clinician networks - Coordinate quality documentation and audit schedules in support of platform and clinician performance initiatives - Create summary decks and reports to support operational briefings - Participate in clinical intake questionnaire development and configuration of new treatment areas - Assist with production testing to validate EMR workflows prior to client launch Who You Are - Advanced clinical degree required (e.g., NP, MD, DO, PA); active license preferred - 3–5+ years of experience in clinical quality, patient safety, or medical operations in a digital health or telehealth setting - Demonstrated expertise in clinician audit workflows, documentation, and reporting - Experience with Airtable, Looker, or comparable systems for quality tracking - Professional resilience and adaptability; comfortable managing shifting priorities and routine backlog management in a fast-paced digital health environment - Highly organized and self-directed, with strong communication and documentation skills - Demonstrated ability to operate with a high degree of autonomy, navigating ambiguity and independently solving problems without requiring step-by-step managerial direction - Proven ability to take ownership of processes and outcomes, successfully driving results through lateral management and contractor oversight - Strong interpersonal skills with a proven track record of managing cross-functional relationships and overcoming communication roadblocks constructively Salary and Perks Pay Range: $142,000 - 168,000 base compensation. Final offer amounts are determined by multiple factors including, but not limited to, the scope and responsibilities of the role, the selected candidate’s work experience, education and training, the work location as well as market and business considerations.
