Job Summary The Senior Staff Accountant, reporting to the Controller, is responsible for recording all aspects of accounts receivable, semi-monthly payroll and 401k plan activity. This role is also responsible for recording and reporting donor advised fund (DAF) activity and supporting the Finance team in maintaining accurate and timely financial records and reporting. Essential Functions Payroll and 401k Transactions - Perform monthly reconciliations of payroll items to the general ledger and prepare payroll related journal entries and work papers for the monthly and annual close, annual 401k plan audit, annual financial audit, and preparation of IRS Form 990 - Reconcile and record payroll related accounting activity, including 401(k) semi-monthly invoices, monthly pension accruals based on organization’s employee benefits, and salary and benefits accounts in the general ledger to ensure accuracy of financial reporting - Partner with the People & Culture team to resolve payroll discrepancies and 401k plan discrepancies - Prepare and maintain accurate records and reports of payroll transactions - Perform internal audits on both payroll and 401k plan, as needed - Support the 401k plan audit process, including direct communication with auditors, coordinating documentation with Third-Party providers, People & Culture, the Controller, the CFO, and gathering payroll-related audit materials - Prepare Finance reports for People & Culture and/or management for reimbursements related to specific employee earnings and benefits General Accounting - Record accounts receivable and cash receipts in the accounting system and partner with Donor Services to accurately track and allocate revenue. Job Summary The People and Culture Senior Associate is a trusted partner to staff and a central member of the People and Culture team, helping ensure that employees across both Core Proteus Fund and fiscally sponsored projects have a seamless and well-supported experience. This role is instrumental in shaping how people engage with the organization, supporting onboarding and orientation through technical execution and systems management, owning benefits administration, and supporting leave processes with care and consistency. Serving as the organization’s HRIS administrator, the Senior Associate ensures data integrity, compliance with applicable regulations, and accurate reporting that informs decision making. Working closely with and reporting to the Vice President of People and Culture, this role contributes to building a responsive, inclusive, and mission-aligned workplace where staff can thrive and do their best work. Essential Functions Core responsibilities of this position include, but are not limited to: Employee Benefits/Payroll - Own end-to-end benefits administration, including open enrollment, plan reviews, vendor coordination, invoice reconciliation, COBRA, and required reporting. - Serve as the primary point of contact for brokers, insurance providers, and retirement plan partners, managing relationships and resolving issues as they arise. - Develop and deliver clear benefits communications so employees understand their options and can easily access and use their coverage. - Manage leave of absence processes by coordinating with external vendors, tracking documentation, supporting return to work transitions, and ensuring compliance with state reporting requirements. - Support employee wellness initiatives that promote wellbeing and work-life balance. - Partner closely with Payroll and Finance to ensure accurate and timely processing of employee changes, including hires, terminations, benefits updates, and paid time off tracking. - Lead the annual workers’ compensation audit and maintain all related records and documentation. Job Summary The People & Fiscal Sponsorship Coordinator plays a critical role as a bridge for Proteus Fund’s People & Culture and Fiscal Sponsorship teams. They ensure the systems, processes, and day-to-day operations run smoothly and effectively. This position provides essential administrative and operational support while also serving as a connective thread between teams, helping advance shared priorities and cross-functional initiatives. Working in close partnership with colleagues across both functions, the Coordinator contributes to projects such as trainings and internal communications, adapting to evolving organizational and team needs. With a focus on accuracy and consistency, this role helps drive the seamless execution of core processes, from systems management and documentation to scheduling and life cycle coordination, ensuring data integrity and supporting operations that are efficient, compliant, and aligned with our mission. Job Summary The People & Fiscal Sponsorship Coordinator plays a critical role as a bridge for Proteus Fund’s People & Culture and Fiscal Sponsorship teams. They ensure the systems, processes, and day-to-day operations run smoothly and effectively. This position provides essential administrative and operational support while also serving as a connective thread between teams, helping advance shared priorities and cross-functional initiatives. Working in close partnership with colleagues across both functions, the Coordinator contributes to projects such as trainings and internal communications, adapting to evolving organizational and team needs. With a focus on accuracy and consistency, this role helps drive the seamless execution of core processes, from systems management and documentation to scheduling and life cycle coordination, ensuring data integrity and supporting operations that are efficient, compliant, and aligned with our mission. Essential Functions Core responsibilities of this position include, but are not limited to: People & Culture Administration - Provide administrative support across People & Culture, including schedule management, invoice processing, organizational chart updates, and maintaining internal files and documentation. - Maintain People & Culture systems, including Connect and survey tools, ensuring information remains accurate and up to date across total rewards, org charts, employee resources, and shared materials. - Act as the primary point of contact with our PEO by responding to inquiries and keeping information clear, current, and accessible. - Manage and distribute People & Culture communications, including organizational updates, scheduling information, and key announcements for core staff and fiscally sponsored projects. - Coordinate onboarding and orientation by managing logistics, aligning sessions, and collaborating across teams to create a smooth and welcoming new hire experience. - Provide backup support for team priorities such as contracts and events, offering logistical and on the ground assistance as needed to ensure continuity. - Maintain and update communication tools and documentation, including email distribution lists, staff directories, and time zone tracking across systems. Fiscal Sponsorship Administration - Partner with the Director of Fiscal Sponsorship, draft or refine SOPs, toolkits, and internal guidance, which include preparing and tracking the execution of fiscal sponsorship agreements, amendments, and renewals. - Maintain accurate and up-to-date fiscal sponsorship records, templates, and shared documentation. - Monitor key milestones throughout the FSP lifecycle (selection & orientation, setup & onboarding, project evaluation, and termination or transition). - Coordinate logistics for the annual check-ins, onboarding, and offboarding in partnership with the Director of Fiscal Sponsorship, Finance, People and Culture, Contracts, Grants Management, and IS. - Schedule and support meetings related to fiscally sponsored projects, including managing Calendly workflows, including agendas, materials, and meeting notes. - Strengthen sponsor-project communications, project communication lists, and internal distribution lists. - Draft, edit, and design correspondence using MailChimp or Email to send e-blasts to FSPs, including invitations to meetings, briefings, internal announcements, and key updates. - Provide research support to the Director of Fiscal Sponsorship as needed, including analyzing fiscal sponsorship trends. Job Summary The People and Culture Senior Associate is a trusted partner to staff and a central member of the People and Culture team, helping ensure that employees across both Core Proteus Fund and fiscally sponsored projects have a seamless and well-supported experience. This role is instrumental in shaping how people engage with the organization, supporting onboarding and orientation through technical execution and systems management, owning benefits administration, and supporting leave processes with care and consistency. Serving as the organization’s HRIS administrator, the Senior Associate ensures data integrity, compliance with applicable regulations, and accurate reporting that informs decision making. Working closely with and reporting to the Vice President of People and Culture, this role contributes to building a responsive, inclusive, and mission-aligned workplace where staff can thrive and do their best work. Essential Functions Core responsibilities of this position include, but are not limited to: Employee Benefits/Payroll - Own end-to-end benefits administration, including open enrollment, plan reviews, vendor coordination, invoice reconciliation, COBRA, and required reporting. - Serve as the primary point of contact for brokers, insurance providers, and retirement plan partners, managing relationships and resolving issues as they arise. - Develop and deliver clear benefits communications so employees understand their options and can easily access and use their coverage. - Manage leave of absence processes by coordinating with external vendors, tracking documentation, supporting return to work transitions, and ensuring compliance with state reporting requirements. - Support employee wellness initiatives that promote wellbeing and work-life balance. - Partner closely with Payroll and Finance to ensure accurate and timely processing of employee changes, including hires, terminations, benefits updates, and paid time off tracking. - Lead the annual workers’ compensation audit and maintain all related records and documentation.
