Role Description The Admissions Coordinator plays a key role in the recruitment and admission of clients into our adolescent residential mental health treatment program. This position is responsible for engaging with prospective families and referral sources, managing inquiry follow-ups, and supporting the admissions process from initial contact through intake. Role Description We are seeking a proactive and business-focused Salesforce Business Systems Analyst to serve as the primary functional owner of the organization’s Salesforce platform and related CRM capabilities. Reporting to IT leadership, this role is responsible for ensuring Salesforce effectively supports business operations through configuration, process optimization, integration management, and continuous improvement. The BSA will act as the primary liaison between business stakeholders, IT, and external vendors for all Salesforce-related initiatives, translating operational needs into scalable system solutions while maintaining platform stability, data integrity, and user adoption. This role owns the day-to-day lifecycle of the Salesforce environment, including enhancements, automation, integrations, support coordination, governance, and training. While Salesforce is the primary responsibility, this position may also support other enterprise systems as needed within a small, collaborative IT team. The ideal candidate combines strong Salesforce expertise with business process knowledge and the ability to influence outcomes across departments in a dynamic, multi-site organization. Key Responsibilities - Business Partnership & System Ownership - Serve as the primary functional owner of the Salesforce environment, ensuring the platform reliably supports business operations. - Configure and maintain objects, fields, page layouts, security settings, and system features. - Design and implement automation using Salesforce Flows and other native tools. - Monitor platform health, usage, and performance. - Manage releases, testing, and deployment of changes and maintain overall system stability and scalability. - Business Process & Solution Delivery - Partner with business stakeholders to understand admissions, business development, and operational processes. - Translate business needs into effective Salesforce solutions and configurations. - Identify opportunities to streamline workflows, reduce manual work, and improve data capture. - Lead functional aspects of enhancements, new capabilities, and process improvements. - Advise leadership on best practices and platform capabilities. - Integrations & Data Management - Coordinate and support integrations between Salesforce and other enterprise systems including call tracking and contact center solutions. - Troubleshoot integration issues with vendors or technical partners. - Establish and maintain data quality standards, validation rules, and governance practices within Salesforce. - Monitor data integrity, duplicate management, and consistency across records. - Support data imports, migrations, and cleanup initiatives. - Ensure accuracy and reliability of reports, dashboards, and downstream data usage. - User Support & Adoption - Serve as the primary escalation point for Salesforce-related issues and requests. - Support user onboarding, training, and ongoing adoption of new features. - Develop and maintain documentation, job aids, and knowledge base materials. - Gather feedback from users to improve usability and effectiveness. - Vendor Coordination & Governance - Coordinate with Salesforce partners, consultants, and third-party vendors. - Participate in roadmap planning, upgrades, and new module implementations. - Ensure changes follow appropriate testing, change control, and communication practices. - Maintain awareness of Salesforce updates and recommend relevant capabilities. Qualifications - 3–7 years of experience supporting enterprise business applications, with significant hands-on experience in Salesforce administration or functional support. - Demonstrated ownership of a CRM platform or major application, including configuration, enhancements, and operational support. - Experience partnering with business stakeholders to translate operational needs into system solutions. - Strong analytical, problem-solving, and process mapping skills. - Ability to manage multiple priorities and initiatives in a fast-moving environment. - Excellent communication skills, including the ability to explain technical concepts to non-technical audiences. - Experience coordinating with vendors, consultants, or managed service providers. - Familiarity with structured service management, change management, or project delivery practices. Preferred Skills - Hands-on administration of Salesforce (Sales Cloud and/or Service Cloud). - Experience configuring objects, fields, security, page layouts, and system settings. - Experience designing and maintaining automation using Salesforce Flows. - Experience with reports, dashboards, and data management within Salesforce. - Experience supporting or coordinating integrations between Salesforce and other systems. - Familiarity with data quality management, duplicate control, and validation strategies. - Salesforce certifications (e.g., Administrator) preferred. - Experience supporting healthcare/regulated environments (e.g., HIPAA) preferred. Role Description The Admissions Therapist is responsible for conducting clinical assessments, providing therapeutic intake interviews, and facilitating the admission of new clients into the program. This role serves as a critical bridge between prospective clients, families, and internal clinical teams—guiding individuals through the intake process, evaluating clinical appropriateness, and ensuring a smooth and supportive transition into care. Responsibilities - Conduct comprehensive intake assessments, including clinical, psychological, and risk evaluations. - Determine eligibility and appropriateness for admission based on program criteria and clinical judgment. - Meet with prospective clients and families in person, by phone, or via telehealth to explain treatment options, policies, and program expectations. - Collaborate with multidisciplinary clinical teams to review cases and make admission determinations. - Prepare, maintain, and manage all intake-related documentation, including assessment reports, intake summaries, and admission paperwork. - Provide referrals and alternative resources when the program is not clinically appropriate or is at capacity. - Maintain confidentiality and ensure compliance with all regulatory, licensing, and accreditation standards. - Participate in admissions committees or case review meetings as required. - Follow up with pending admissions to answer questions and assist with logistics such as scheduling and insurance coordination. - Provide crisis intervention and clinical support as needed during the intake process. - Collaborate with outreach, marketing, and referral partners to support referral development and admissions growth. - Track and report admissions metrics (e.g., conversion rates, no-shows, demographics) and assist in improving admissions workflows. Qualifications - Licensed mental health professional (LCSW, LMFT, LPC, Psychologist) or eligible for licensure. - Clinical experience in behavioral health specialties such as mental health, substance use, or trauma. - Previous experience in clinical admissions, call center environments, or customer service required. - Strong clinical assessment, diagnostic, and decision-making skills. - Excellent communication skills with the ability to support clients and families during emotionally sensitive situations. - Ability to work collaboratively with multidisciplinary clinical and administrative teams. - Strong organizational skills and attention to detail. - Flexibility in schedule, including availability for evenings and/or weekends as needed. - Experience working with youth and families in behavioral health, residential treatment, or substance use recovery settings. - Knowledge of mental and behavioral health systems of care. - Familiarity with CRM platforms or admissions tracking systems. Job Summary As a CNA Assistant on our Corporate Admissions team, you will support the clinical admissions process by conducting comprehensive assessments, identifying medical and clinical needs, and collaborating closely with internal and external stakeholders. Our Corporate Admissions team plays a critical role in ensuring each potential client is appropriately assessed and matched to the level of care that best meets their needs. This role requires strong clinical judgment, excellent communication skills, and the ability to manage multiple priorities in a fast-paced, fully remote environment. Responsibilities - Provide compassionate, professional interactions with prospective clients and families. - Conduct comprehensive assessments for prospective clients via phone. - Gather, review, and document detailed clinical and medical information to support admission decisions. - Collaborate and communicate assessment findings with admissions coordinators, clinicians, nurses, and other internal teams. - Support care coordination by ensuring all required clinical information is obtained prior to admission. - Administrative duties including auditing and scheduling client admits. - Identify and flag medical, psychiatric, or safety concerns to appropriate teams. - Maintain accurate, timely, and thorough documentation in CRM and electronic health record (EHR) systems. - Ensure compliance with HIPAA and all internal policies and procedures. Qualifications - Active Certified Nursing Assistant (CNA) or equivalent certification required. - Experience in behavioral health, mental health, or substance use treatment is strongly preferred. - Exceptional organizational and time-management skills with attention to detail. - Experience with EHR and CRM systems preferred. - Strong communication (written and verbal) and relationship building skills. - Proficient in Microsoft Office Suite and adept at learning new systems quickly. - Ability to work 100% remotely with reliable internet connection and a quiet, professional remote workspace.
