Title: Intake Community Supports Representative Location: IA- USA Job Description: Position Summary The Intake Community Support Representative serves as the front line to our customers placing meal orders. This position is responsible for providing excellent customer service to our clients while efficiently and accurately submitting their order. This is a fully remote position. Employees must be located in Iowa (applicants outside of Iowa will not be considered). The starting wage is $17.50/hour ($18.50/hour for bilingual candidates) with weekly pay, PTO, and benefits available after 30 days of employment. Work hours are Monday-Friday 11:00am-8:00pm with the potential for overtime. Position Responsibilities may include, but not limited to - Handle inbound and outbound customer service calls, including de-escalations to the best of your abilities with our clients placing their meal order - Address questions, and provide exceptional customer service - Input order information into the appropriate client order screen - Document all conversations with client into client information database - Ensure all assigned clients are contacted and have an order on file - Contact case managers via telephone, email, and/or fax when a special situation arises regarding one of their clients - Work quickly and efficiently without making the client feel rushed - Assisting clients with reships (after training is completed) - Assist callers who inquire about the Community Supports benefit, and submit a self-referral for those who meet the criteria to submit the referral. - Notify clients of benefits ending soon within the 30 day time frame, and offering to assist with reauthorization when able, or explain next steps for those whose agency does not allow Mom’s Meals to initiate the request - Explain benefits including nutritional counseling requirements and possible timelines for clients awareness Required Skills and Experience - High school degree or GED - 1 year of previous customer service experience - Previous knowledge and experience using the Microsoft Office suite (Word/Excel/Outlook) - Clear oral communication skills - Previous experience with data entry - Must have a wired internet connection using an ethernet port. • Schedule and conduct onsite vendor food safety and quality assessments through collaboration with Internal Stakeholders for new potential vendors • Maintain current supplier approval schedule and conduct re-evaluation audits per the defined frequency • Thoroughly assess vendor risks as it relates to various product types (i.e., Meat, poultry, egg, dairy, baked goods, fruit/vegetables, food additives/ingredients, etc.) and applicable regulations (i.e. USDA and FDA) and Quality Standards (i.e. SQF, BRC, etc.) • Write reports and communicate findings in a timely manner to execute prompt closure to identified nonconformances • Follow up with suppliers on corrective action plans as needed to ensure the appropriate level of action is taken to eliminate nonconformance • Work with suppliers to improve their overall service level, including compliance to specifications and COA requirements • Identify, measure, implement and report on continuous improvement initiatives within the supply chain program (i.e. Supplier Performance metrics, etc.) • Further develop and evolve food safety and quality risk assessment criteria and supplier qualification programs, assist with HACCP and Food Safety Plans as needed • Assist in analyzing complaint data as it relates to raw materials to identify trends and opportunities with vendors to drive continuous improvement • Assure programs, policies and procedures are compliant and kept current • Input supplier data within the computerized quality management system to ensure current information is maintained
