Operations Assistant

• The Operations Assistant supports the Operations Team by providing reliable, detail-oriented administrative assistance across a wide range of tasks. • Ensure day to day workflows run smoothly by completing assigned administrative duties, maintaining organized records, preparing basic documents, and assisting with routine project needs. • Contributes to team efficiency by staying responsive, accurate, and proactive in handling operational support. • Handle routine administrative tasks as assigned, ensuring timely and accurate completion. • Draft, proofread, and format basic internal documents. • Organize and maintain electronic files, folders, and shared resources. • Track action items, deadlines, and follow ups to support smooth workflow. • Enter, update, and verify data in spreadsheets, logs, and internal systems. • Assist in preparing reports, summaries, and simple presentations. • Maintain confidentiality and handle sensitive information with discretion. • Provide general support on ongoing projects, including gathering information and preparing materials. • Assist with basic coordination tasks as directed by the operations team. • Perform other administrative duties to support team efficiency and workload management.

• The Data Support Specialist supports firmwide operational needs by maintaining accurate, reliable data across the immigration case management system and other internal data sources used by the firm. • Provides frontline assistance to staff by troubleshooting system issues, guiding users through workflows, and documenting recurring problems. • Performs routine data audits, corrects errors and inconsistencies, and assists with data migrations and validation during new client onboardings or system updates. • Helps ensure that firm data remains clean, consistent, and usable by preparing documentation, supporting configuration tasks, and contributing insights that strengthen day-to-day operational efficiency. • Serve as the first point of contact for immigration case management system related questions and basic troubleshooting. • Assist employees with navigation, errors, and workflow issues within the software. • Document recurring issues and escalate technical problems when needed. • Support onboarding of new users, including account setup and basic training. • Conduct regular data audits to ensure accuracy, completeness, and consistency. • Identify and correct data errors, duplicates, and formatting inconsistencies. • Maintain data standards and support firmwide data hygiene initiatives. • Assist with data imports, exports, and validation during migrations or updates. • Support configuration of fields, templates, and workflows under the direction of Firm Operations. • Participate in testing new features, updates, and system enhancements. • Create, maintain, and update SOPs, quick reference guides, and training materials. • Collaborate with staff to understand workflow needs and ensure the system supports operational requirements. • Track system issues, user requests, and data quality trends. • Prepare reports or summaries to support operational decision making. • Contribute to documentation of processes, standards, and best practices.

• Manage caseload of various writing-focused employment-based immigration matters (E, L, O, P nonimmigrant visas and EB1/NIW immigrant visas) • Assist attorney and/or case manager in preparation of immigration petitions and applications, including preparation of immigration forms and supporting evidence for submission to relevant administrative agency • Draft correspondence to clients and communicate relevant case information and case requests to clients, including agency notices • Review and organize client documentation and analyze and summarize case data for attorney • Assist attorney and/or case manager with determining potential case issues and planning case strategy • Maintain organized legally compliant client files, update notes in database, monitor deadlines and communicate progress of individuals’ cases • Conduct research regarding filing regulations and relevant procedures with USCIS and the U.S. Department of State • Contribute to the development of practice processes to ensure team operates efficiently and effectively • Work effectively and collaboratively with team members to prioritize and organize work load • Maintain firm protocol with respect to file maintenance, record-keeping and use of case management system • Perform administrative tasks and other projects as assigned by case manager or attorney
