Title: Billing Specialist Location: NY-Rochester Job Description: Job Type Full-time Description Billing Specialist – Rochester, NY Lead project billing operations supporting transportation, civil infrastructure, land development, engineering, and multidisciplinary design projects across our locations using Deltek Vantagepoint, project accounting, and client-focused financial coordination. Serve as a key financial partner supporting Project Managers, project delivery teams, and operational leadership through accurate client invoicing, WIP management, project financial reporting, revenue tracking, and AEC project billing oversight in a fast-paced consulting environment. What You’ll Do - Manage the full project billing cycle, including contract interpretation, project setup review, invoice preparation, reconciliations, and financial reporting using Deltek Vantagepoint and Microsoft Office tools. - Partner closely with Project Managers to deliver accurate, client-ready invoices, job cost reporting, and financial summaries that support successful project delivery and decision-making. - Support strong project financial performance by monitoring accounts receivable, assisting with soft collections, and ensuring timely submission and accuracy of timesheets, expense reports, and accounting documentation. - Collaborate across departments to resolve billing discrepancies, support client and vendor needs, and maintain smooth financial operations in a fast-paced, team-oriented environment. - Contribute to broader accounting and operational success through cross-functional support, ad hoc financial projects. Requirements What We’re Looking For - Associate’s degree in Accounting, Business, Finance, or related field. - 3-5 years of billing, project accounting, or professional services invoicing experience. - Deltek Vantagepoint software experience strongly preferred. - Experience with Microsoft Office products including Outlook, Word, and Excel. - Experience supporting engineering, architecture, consulting, construction, or professional services environments preferred. - Strong organizational skills, attention to detail, communication, and ability to manage deadlines in a fast-paced project environment.
