About the role: As the Outreach Specialist at Extrity Services, you will be instrumental in supporting lead generation, preparing personalized outreach materials, and ensuring CRM excellence. Your work will enhance marketing accuracy, strengthen sales pipeline efficiency, and uphold Extrity Services’ commitment to professionalism and operational excellence. What you'll be doing: - Prepare and complete personalized outreach items per day (digital, printed, or formatted) for our sales initiatives. - Ensure all outreach materials are accurate, professional, and aligned with branding and quality standards. - Organize, batch, and prepare outreach letters for timely delivery - physically or digitally. - Perform CRM hygiene tasks including cleaning, updating, and verifying HubSpot contact data. - Source and research contact lists using the CRM and external platforms to identify potential clients. - Create simple Canva graphics to support marketing content and outreach campaigns. - Assist with social media management including scheduling posts and monitoring engagement. - Maintain daily reporting on quantities of outreach completed and delivered. - Collaborate with CEO to ensure alignment with outreach goals and messaging. - Support general marketing and outreach operational tasks as needed. What you'll bring: - Strong attention to detail and ability to maintain accuracy across repetitive tasks. - Excellent organizational and time-management skills to meet daily output targets. - Experience with CRM systems—HubSpot preferred. - Ability to produce high-quality outreach materials in both digital and physical formats. - Basic Canva proficiency for simple post creation. - Familiarity with social media management tools or scheduling workflows. - Reliable, self-motivated, and able to work independently. - High school diploma or equivalent. - Preferred: Prior experience in outreach, marketing support, or data-driven administrative roles. • Assist with recruiting efforts including job postings, screening, and coordinating interviews • Support onboarding and offboarding processes to ensure a seamless experience for team members • Perform administrative tasks such as maintaining employee records and tracking HR metrics • Participate in HR meetings and trainings to gain insight into strategic people operations • Help maintain compliance with company policies and legal employment regulations • Collaborate on employee engagement initiatives to enhance company culture • Assist in organizing company events and recognition programs • Shadow and learn from experienced HR professionals in various functional areas • Contribute to process improvement projects within the People & Culture team • Provide general support to the HR department as needed

• Identify and siphon leads from multiple platforms and databases • Create and manage mailing campaigns to prospective clients • Develop and maintain lists of potential clients for “pop-in” (walk-in) strategies • Support the sales team in scheduling and planning outreach efforts • Maintain accurate records and databases of outreach activities • Track and report time using our Tracktik timeclock system • Adhere to weekly hour limits (10 hours/week) with any additional time requiring pre-approval • Provide daily updates to the sales team on outreach progress and results • Collaborate remotely and maintain communication via email and internal platforms • Assist with various administrative sales tasks as needed
