• Monitor and redirect adolescent clients (ages 13–17) via chat during virtual group sessions, transitions, and unstructured time • Manage breakout rooms independently for de-escalation when a secondary therapist isn't available • Conduct Green Space assessments and follow up with parents every two weeks • Process intakes, upload sign-in sheets, prepare welcome kits, and maintain census records • Produce and distribute the weekly program newsletter • Track attendance and coordinate psych/IEP scheduling for new admissions • Provide real-time tech support to clients during sessions (Zoom, breakout rooms, chat) • Communicate with parents by phone and email on progress and logistics • Complete accurate, same-day documentation, including wellness check-ins and incident reports • Escalate safety concerns, disclosures, and behavioral flags to the clinical team immediately

Role Description You are the first point of contact for adults seeking substance use and mental health treatment. You manage inbound and outbound calls, guide prospective clients through the admissions process, and convert inquiries into enrollments — with empathy, urgency, and professionalism. What You'll Do - Respond to all new inquiries same day via phone and email - Conduct consultative intake calls to assess needs, gather information, and determine level of care fit (PHP/IOP) - Manage a personal admissions pipeline from first contact through enrollment; report pipeline status weekly - Meet and exceed individual enrollment targets - Complete outbound follow-up on warm leads, pending applications, and stalled prospects - Schedule enrollment appointments with at least 48 hours' notice; keep team updated on changes - Coordinate with clinical staff to support smooth transitions from inquiry to admission - Ensure all enrollment documentation is complete and filed by end of business on enrollment date - Maintain same-day CRM documentation on all contacts and activity - Build and maintain referral source relationships over time; document all contacts same day Qualifications - 2+ years in behavioral health admissions, substance use treatment, healthcare sales, or a high-volume client-facing role - Track record of meeting or exceeding conversion or enrollment targets - CRM proficiency - Consultative communicator — you listen first, then guide - Empathetic and steady in emotionally charged conversations - Highly responsive, self-directed, and accountable in a remote environment Preferred - Familiarity with substance use disorder and/or adult mental health treatment settings - Working knowledge of insurance benefits verification and utilization review processes
