Role Description The Account Operations Manager plays a critical role in driving the successful integration and utilization of Adaptive Biotechnologies’ clonoSEQ® Assay into diverse healthcare settings. This customer-facing position leads the design and implementation of tailored diagnostic workflows, ensuring seamless onboarding, and providing comprehensive training for clinical teams. - Manage institution-specific onboarding requirements and develop customized workflows tailored to each account’s operational and clinical needs. - Lead virtual or in-person trainings for key ordering personnel and support go-live readiness for diagnostic integrations in non-hospital and academic hospital institutions. - Apply working knowledge of hematologic disease biology, specimen handling, and MRD testing guidelines to support workflow implementation. - Serve as a resource to internal teams and external stakeholders, helping ensure workflows align with standards of care and institutional protocols. - Collaborate with sales and customer operations to ensure efficient and effective communication with clinicians and their teams. - Partner with sales, field medical, reimbursement, digital health, and customer operations to ensure cohesive execution of account strategies and business goals. - Act as a liaison to support priority internal initiatives requiring customer engagement and feedback. - Support EMR integration efforts by partnering with technical teams and engaging existing and prospective integration targets. - Help customers leverage embedded decision support tools to drive diagnostic adoption. - Build and maintain strategic relationships with customers, driving satisfaction through superior service and execution. - Ensure accurate and timely delivery of insights related to new prospects and account health. - Provide training and guidance to new Account Operations team members in coordination with leadership. This role works closely with the Sr Reimbursement Account Specialists to manage inbound inquiries, coordinate documentation needs with provider offices, update billing and diagnostic information, and ensure accurate case and clinical order handling across multiple systems. Key Responsibilities and Essential Functions Inbound Call Management - Manage inbound calls from patients, provider accounts, and payers regarding reimbursement issues, billing status, prior authorizations, and Adaptive Assist enrollment. - Identify the nature of each inquiry and triage calls to the appropriate teams when needed. - Provide clear, accurate, and empathetic support to all callers. Provider Outreach & Documentation Follow-up - Contact provider offices to obtain outstanding documentation required to move reimbursement requests forward. - Communicate required materials, confirm provider understanding, and document commitments to submit missing information. - Maintain accurate, timely documentation to support reimbursement workflows and audit readiness. Patient Financial Assistance Support - Assess all self-pay patients and patients with outstanding balances for eligibility into Adaptive. - Assist Patient Support Program’s financial assistance and enroll qualifying patients. - Document assistance qualifications into the internal and billing vendor patient records. - Audit the PFAP on a regular basis to compliance with all current guidelines. Order Review & Eligibility Assessment - Collaborate with internal partners to run needed orders through external vendor platforms to check for insurance eligibility and/or financial assistance qualification. - Review patient bills for appropriateness and release when necessary. - Collect pre-payment from appropriate self-pay patients. - Work with customers and embassies to collect payment for international patients. - Contact patients for Advanced Beneficiary Notices when needed. Pre Diagnosis Workflow Management - Evaluate held orders for proper ICD codes, needed documentation and other requirements. - Update orders and resolve holds when appropriate. Key Responsibilities and Essential Functions Claims Follow Up & Denial Resolution - Review and analyze delayed or denied claims to determine root cause based on payer explanation of benefits (EOB) or remittance advice. - Conduct timely follow up with insurance carriers to clarify claim status, resolve issues, and secure payment. - Obtain missing information, correct coding or billing errors, and submit corrected claims or resubmissions when appropriate. - Escalate unresolved or complex claims to Appeal Specialists or management as needed. Research & Policy Review - Research and interpret payer coverage policies, contracts, and medical necessity requirements related to molecular and NGS testing. - Stay current on payer-specific guidelines to ensure accurate claim resolution and resubmission. Documentation & Compliance - Document all follow up activity, payer communication, and resolution steps accurately and timely within the billing system. - Ensure all work complies with HIPAA, payer rules, and internal company policies. Collaboration & Communication - Partner closely with prior authorization, billing, reimbursement, and client services teams to gather required demographic, coding, or clinical documentation. - Communicate with providers and internal stakeholders to resolve claim discrepancies or obtain additional information. Reporting & Process Improvement - Track claim statuses, denial reasons, resolution timelines, and follow up outcomes. - Identify denial and delay trends and collaborate with leadership to implement strategies to reduce future denials. - Provide feedback on workflow opportunities and process improvements to enhance revenue cycle efficiency. Single Case Agreements - Manage incoming single-case agreements or LOAs and negotiate appropriate reimbursement rates. - Provide trends of single case agreements to contracting and payer relations teams.
