Role Description The Associate Admissions Coordinator provides operational and administrative support to the Admissions team, ensuring accurate data management, reporting, and workflow efficiency throughout the admissions process. This role is responsible for maintaining prospective student records, supporting application processing, and assisting with inbound communication as needed. - Integrates Ogle School’s Core Values of Respect, Integrity, Service, Teamwork, and Excellence in all aspects of interaction with students and staff. - Completes certification process and associated training to develop concrete admissions knowledge. - This role operates on a rotating schedule designed to support student needs throughout the week: - Monday–Thursday: Typically, 9:00 AM – 6:00 PM, with one late shift per week (10:00 AM – 7:00 PM) - Friday: 8:30 AM – 5:30 PM or 9:00 AM – 6:00 PM, based on coverage needs - Occasional weekend availability may be required during key enrollment periods. - Maintain and update prospective student records within Anthology (CRM), ensuring data accuracy and completeness. - Generate daily, weekly, and monthly reports to support Admissions performance and tracking. - Support application processing and ensure all required documentation is complete and compliant. - Assist the Admissions team with data entry, workflow management, and administrative tasks. - Monitor and respond to inbound calls, emails, and inquiries, ensuring a high level of responsiveness (target 99% response rate). - Provide general information and support to prospective students as needed during inbound interactions. - Collaborate with Admissions, Financial, and other departments to ensure smooth information flow. - Support campus events, orientations, and admissions-related activities as needed. - Maintain compliance with institutional policies, as well as state and federal regulations. - Uphold professional communication standards and organizational expectations in all interactions. Qualifications - Minimum of 2–3 years of experience in customer service, administrative support, data entry, or office coordination. - Strong written and verbal communication skills, including professional phone presence. - Ability to manage multiple tasks and priorities in a fast-paced, detail-oriented environment. - High level of accuracy and attention to detail, particularly when working with data and documentation. - Comfortable working in systems and maintaining data within a CRM (experience with Anthology or similar platforms preferred). - Strong organizational and time management skills. - Ability to work independently while also supporting a team environment. - Reliable and responsive in handling inbound communication, including phone and email inquiries. - General computer proficiency, including Microsoft Office and data entry systems. Requirements - Ability to maintain a consistent and reliable schedule. - During peak enrollment periods, may need to briefly log in outside standard hours to ensure timely completion of student documentation. • Receive and process inbound inquiries from phone, email, and chat. • Assess potential patients’ treatment needs, locating facility and level of care that coincide with patient’s clinical and medical needs. • Document patient assessment accurately and promptly into system of record, ensuring all pertinent information is inputted in quick and efficient manner. • Understand patient’s insurance eligibility and benefits. • Determine patient’s insurance eligibility and benefits, assessing viable options for treatment within Pinnacle Treatment Centers. • Collect patients’ financial responsibilities, including deductibles, copays, coinsurance and out of pocket. • Work with Pinnacle Treatment Centers to locate available beds and schedule admissions. • Coordinate admissions schedules and sets up patient transportation as needed. • Excel in teamwork, working in unison with all Pinnacle Treatment Centers staff to ensure positive patient. • Ability to work cohesively with others while maintaining personal tasks. • Ability to adapt and change focus to new tasks or goals. • Ability to negotiate or overcome barriers. • Attentive documentation skills. • Demonstrate excellent interpersonal communication skills. • Ability to motivate those seeking treatment. • Accurate and fast computer skills.
