• Proactively manage complex calendars, coordinate internal and external meetings, and resolve scheduling conflicts before they impact the business day. • Draft, review, and organize correspondence on behalf of leadership. Act as a welcoming, professional point of contact for external partners, retail clients, and team members. • Prepare meeting agendas, compile background information, and document actionable next steps to ensure leadership enters every discussion fully prepared. • Coordinate travel arrangements and detailed itineraries, ensuring seamless transitions between office locations, showrooms, or client visits. • Process executive expense reports, organize digital files, and maintain confidential business documentation with high discretion.
Job Requirements
- At least 4 years of experience supporting executives, VPs, or business leaders in a fast-paced environment.
- Strong proficiency with standard office tools, including Google Workspace and Microsoft Office (Word, Excel, PowerPoint).
- Exceptional written and verbal communication skills, with the ability to convey information clearly and professionally.
- Proven ability to handle sensitive, confidential business information with absolute discretion.
- Excellent time-management skills and the ability to prioritize tasks when managing competing demands.
- Prior experience working in manufacturing, interior design, wholesale retail, or home luxury goods industries.
- Experience coordinating small events, executive retreats, or showroom visits.
- Familiarity with project management tools (such as Asana, Trello, or Monday.com).
