Role Description Join an established Australian mortgage broking firm as the right hand to a busy, award-winning head broker, working fully remote from the Philippines. This is a rare chance to effectively act as the broker across a varied EA and loan processing role, and to grow with a supportive onshore team. This role owns the broker's inbox, calendar, and client communications across the full loan lifecycle, from pre-approval through to settlement and post-settlement rate reviews. Day to day, you will: - Draft and send client emails on the broker's behalf. - Coordinate meetings and follow-ups. - Support loan processing and file admin including basic valuations and document work. - Handle rate negotiations with lenders. - Keep social and web content organized and scheduled. You will work primarily in Infynity CRM (Finsure aggregator) alongside Microsoft Office or Google Workspace, and you will be expected to adopt AI tools to work faster over time. The role reports directly to the head broker and sits alongside an established onshore team of six spanning client relations, operations, compliance, office management, and affiliate partners, with clear scope to take more off the broker's plate as trust builds. Qualifications - Previous experience within an Australian mortgage broking business is essential. - Sound understanding of the loan lifecycle, from pre-approval through to settlement and post-settlement rate reviews. - Excellent written and verbal English with a warm, professional manner. - Strong organization skills, able to manage an inbox, calendar, and competing priorities. - Genuinely proactive and quick thinker. - Experience with a mortgage CRM, ideally Infynity, plus Microsoft Office or Google Workspace. - Content scheduling and organization experience across social and web channels. - Eager to learn and adopt AI tools such as ChatGPT or Claude. - Discreet and trustworthy when handling client and business communications. - Preferably holds a bachelor's degree. Requirements - Stable work-from-home setup (reliable internet, laptop/desktop, quiet workspace). - Proactive attitude, able to follow up clients, lenders, and third parties without being prompted. - Able to work Australian business hours. Role Description The objective of the Executive Assistant role is to ensure organizational efficiency by providing coordination, customer service, relationship management, and administrative support at the executive level.
