Professional Services Project Coordinator
Lumos
• Own the project plan. Maintain project plans, schedules, and status documentation; check for past-due dates and request updates; keep track of every change made to the plan. • PS Projects Dashboard upkeep. Our internal tracking looks at weekly high level status tags, summaries, blockers/issues to escalate, and module go live dates, all used in reporting to the Customer team as a whole and to our ELT. You will work with the Head of PS and the CSMs to update and share highlights and risks weekly with the teams. • Hold the team accountable. Track deliverables, follow up before things slip — not after — and hold both customers and internal stakeholders accountable for what they've committed to. • Run a tight ship on project calls. Build structure for recurring project calls — set the agenda, keep the discussion on topic, and don't let Solution Architects (or anyone else) wander off-track. Coordinate meeting logistics, action items, and follow-ups. • Escalate early. Flag risks, blockers, and account changes to the CSM before they surprise the customer relationship. Track blocker-level bugs and sales-committed feature requests tied to product needs. • Keep the RACI clean. Define and maintain the project RACI (Responsible, Accountable, Consulted, Informed) for each engagement so everyone knows who owns what. • Report status, internally and externally. Own weekly project plan updates, deliver a weekly status report to the CSM and leadership, and produce both the internal status report and the client-facing progress summary for every project. • Use AI to scale the work. Use AI/Claude skills to help manage recurring reporting and status work so updates stay consistent and timely without eating the team's bandwidth. • Track the technical footprint. Compare the apps a customer committed to integrating against what they've actually integrated. • Build relationships that make delivery work. Build working relationships with the internal teams supporting each engagement, and follow established project management practices and procedures.
Job Requirements
- 3-5 years of relevant experience. Project manager or project coordinator-level experience is a plus.
- Strong organizational skills and attention to detail. You don't let things fall through the cracks.
- Comfortable across multiple tools. Project tracking, scheduling, documentation — and experience using AI tools to boost productivity and scale reporting work rather than grinding through it manually.
- A natural driver of accountability. You follow up before things slip, not after, and you're comfortable holding both customers and internal teams to their commitments.
- Clear, proactive communicator. You can run a tight, on-topic call and translate project status into something a CSM, an internal team, or a client executive can act on immediately.
