Payroll Manager

AnswersNow

• Oversee payroll processes and execution, ensuring timely and accurate payments to employees, including variable and incentive compensation • Review and process additional pay items, W-2s, and 1099s, and validate payroll tax filings for accuracy and compliance • Manages the end-to-end variable compensation lifecycle, including drafting and distributing compensation letters, and conducts annual salary benchmarking to update and establish competitive pay bands. • Oversees relevant inboxes to promptly resolve state notices, manages all federal, state, and local payroll tax filings, and maintains active state licensures. • Supports new state expansion initiatives by coordinating corporate registrations and configuring state-specific payroll rules within Rippling. • Executes routine internal payroll audits, leads the annual Rippling payroll audit, manages the Betterment 401(k) program, and supports annual 401(k) testing and compliance audits. • Serves as the primary administrator for Workers’ Compensation policies and coordinates responses to unemployment claims and Department of Labor (DOL) inquiries. • Manages timecard tracking systems, delivers training and ongoing support to managers and employees on timekeeping best practices, and serves as the main point of contact for employee payroll and tax inquiries.

Job Requirements

  • 7+ years of progressive multi-state payroll experience
  • Experience registering, setting up, and managing compliance across multiple state tax jurisdictions.
  • Advanced proficiency with Rippling (or very similar modern HRIS/payroll platforms).
  • Experience managing digital 401(k) platforms, specifically hands-on administration within Betterment or similar modern record keepers.
  • High proficiency in Excel or Google Sheets (VLOOKUPs, pivot tables, data manipulation)
  • Deep compliance expertise, including managing annual 401(k) discrimination testing, 5500 filings, and dedicated external audit support.
  • Comprehensive understanding of multi-state Workers’ Compensation laws, payroll tax filing regulations, and year-end ACA reporting (1095-C) / W-2 compliance.
  • Excellent cross-functional communicator capable of partnering with HR, Legal, and Finance teams while providing empathetic, clear support to employee payroll inquiries.
  • Comfortable analyzing market data to build out salary bands and run routine, proactive audits to catch errors before they affect employees.
  • Nice to have: Strong working knowledge of healthcare or billable-hour payroll structures.
