Medical Records & Billing Legal Assistant II
Job Duck
• Conduct new client intakes and intake processing. • Work within a case management system and use document/email templates. • Request and process medical records and medical bills through external portals. • Provide light administrative legal support as needed. • Manage outgoing requests and follow-ups. • Make outbound client calls (approximately 5–10 per day) for monthly 28-day client check-ins. • Maintain confidentiality and work in a secure, private workspace. • Create and maintain medical expense summaries and billing logs in Excel. • Adhere to established systems and workflows. • Track and organize records and bills once received. • Support paralegals by ensuring documentation is accurate, complete, and properly processed.
Job Requirements
- 1-2 years of experience working as a legal assistant, paralegal, or supporting law firm operations.
- Experience with personal injury law is highly preferred.
- Strong attention to detail required.
- Excellent English communication skills (verbal and written) are a must.
- Self-driven and disciplined.
- Team-oriented mindset.
- Adaptability and flexibility.
- Comfort with structured workflows and established processes.
- Good numerical skills; proficiency in Excel.

Role Description We are seeking a highly organized, detail-oriented, and Mandarin-English bilingual Legal Assistant to join our growing remote legal team in Asia. - Prepare, organize, and file immigration petitions, applications, and supporting documentation. - Draft and review legal documents, declarations, affidavits, recommendation letters, and correspondence related to immigration matters. - Communicate with clients in both Mandarin and English to gather information, provide case updates, and respond to inquiries professionally and promptly. - Maintain organized and accurate digital case files to ensure efficient case tracking and document management. - Manage and update CRM and case management systems, including platforms such as PracticePanther, Lawmatics, Docketwise, Pipefile, and Monday.com. - Track filing deadlines, monitor case progress, and assist with scheduling and administrative coordination. - Collaborate closely with attorneys and legal support staff on case preparation, strategy, and workflow management. - Utilize legal technology and AI-assisted tools to improve efficiency, organization, and overall case management processes. Qualifications - Minimum of 2 years of experience working in a legal field (required). - Immigration law experience is highly preferred, but exceptional candidates with experience in other legal practice areas are encouraged to apply. - Law degree preferred. - Fluent in Mandarin and English, both written and verbal (required). - Experience with legal case management and CRM systems such as PracticePanther, Lawmatics, Docketwise, Pipefile, and Monday.com is required. - Strong drafting, organizational, and multitasking abilities. - Demonstrated ability to manage competing priorities while maintaining a high degree of accuracy and attention to detail. - Proven ability to meet deadlines, performance goals, and quality standards in a professional environment. - Strong proficiency in utilizing AI tools to enhance work product and efficiency is highly preferred. - Reliable internet connection and dedicated home office setup (required).
