Business Operations, GTM Assistant

• Send contracts and agreements for signature; track status and file signed copies to the correct customer record • Keep contract and agreement templates current as requirements evolve • Process vendor and ad hoc invoice payments; monitor and resolve failed payments daily • Track referral and partner payments • Confirm billing and subscription systems are updated on customer offboarding; coordinate related tickets • Manage recurring vendor/partner billing and monthly cost-allocation reporting for accurate P&L reporting • Process weekly reimbursements and coordinate company card issuance and requests • Track and incorporate HR policy updates (e.g., state law compliance, employee handbook updates) • Document SOPs and identify where AI or automation could take over manual work

Job Requirements

  • 1–3+ years of experience in business operations, sales operations, executive support, or a similar cross-functional role.
  • Strong organizational skills - owns many concurrent, detail-heavy workflows without dropping things.
  • Experience handling invoicing, billing, or vendor payment processing accurately and with discretion.
  • CRM fluency - keeps HubSpot (or similar) clean and current, or learns fast.
  • Ability to manage the contract signature process end to end.
  • Clear, professional written English communication - for internal coordination and external follow-ups.
  • Proactive follow-through - closes the loop without being asked.
  • Comfort working across multiple tools: CRM, payments, HR systems, and contracts simultaneously.
  • AI-forward mindset - motivated to use AI tools to eliminate repetitive manual work.
  • Comfortable working independently in a fast-paced startup environment with shifting priorities.
