Client Specialist - Business Operations

The Client Specialist – Business Operations plays a key role in keeping our client CEOs organized, efficient, and moving forward. You will partner closely with CEOs to streamline operations, support business development, and ensure a smooth contracting and onboarding experience for their clients. Daily check-ins with the CEO to identify priorities and move projects forward Maintain CRM pipelines and advance sales opportunities Coordinate meetings and follow up with prospects and clients Run short-term projects and act as the gatekeeper of the CEO's time and focus Handle contracting workflows, prepare agreements in HubSpot, and track paperwork through completion Interface with client teams and occasionally onboard into client systems Value proactive initiative, professionalism, curiosity, and a solutions-focused mindset Enjoy creating order out of chaos and contributing ideas that help clients’ businesses grow This is a part-time, remote role that may include occasional weekend work to support board or advisory meetings.

Job Requirements

  • Fluency in spoken and written English (second language a plus)
  • Strong communication and problem-solving ability

  • Positive attitude and persistence — especially during follow-ups

  • Close communication and collaboration with the Client company management
  • Daily meetings with the Client CEO to discuss challenges and sales opportunities
  • Preparation for meetings by discussing deliverables, project statuses, client issues, and business development opportunities
  • Help the Client CEO with CRM sales pipeline maintenance, sending out sales emails, and following a sales process
  • Document work to establish good operating procedures based on training provided
