Legal Intake Specialist – Personal Injury

Ovation Law Firm

• Respond to incoming inquiries via phone, web forms, and chat in real time. • Conduct concise (5–8 minute), compassionate discovery calls to gather essential case details. • Apply proprietary scripts and strict qualification criteria to determine case fit. • Perform live warm transfers to partner legal teams or schedule callbacks for qualified leads. • Accurately document all caller information and case details in Salesforce. • Manage follow-ups for pending leads, maintaining an organized pipeline.

Job Requirements

  • Strong English communication skills (C1 level), both verbal and written.
  • Fully bilingual, fluent in both English and Spanish.
  • At least 1 year of experience in a high-volume call center, customer service, or medical/legal office environment.
  • Exceptional verbal communication skills with the ability to mirror a caller’s tone, demonstrate empathy, and build rapport quickly.
  • Sales-minded approach focused on educating callers and guiding them toward taking action on their personal injury matter.
  • Tech-savvy and comfortable typing 45+ WPM while speaking with callers and navigating multiple software platforms simultaneously.

This is a rare opportunity to step into a high-responsibility role working directly alongside our named partners. Responsibilities will include: - Assist with the complete lifecycle of litigation matters from intake to appeal. - Conduct thorough legal research and draft pleadings, motions, briefs, appellate documents, settlement agreements, and demand letters. - Take and defend depositions, and prepare clients for same. - Assist with trial preparation, including witness preparation, exhibit management, and strategy development. - Communicate with clients, to provide timely updates and clearly explain legal strategies and potential outcomes. - Collaborate with firm attorneys and legal staff to optimize firm systems to maximize efficiency and further the objectives of the firm. - Stay current on relevant legal developments to provide informed, forward-looking legal advice. Qualifications - Juris Doctor (JD) from an ABA-accredited law school. - Active admission to the California State Bar and in good standing. - Experience appearing in court. - Experience taking a deposition. - Experience drafting motions. - 3 to 5 years of substantive civil litigation experience, with a demonstrated track record of proactively managing cases. - Prior experience at an Am Law 200 firm or similarly sophisticated practice environment. - An ownership mentality: you treat every matter as your personal responsibility and demonstrate sound judgment, responsiveness, and reliability. - Strong oral advocacy skills and the ability to communicate persuasively in writing and in court. - Ability to work effectively under pressure, prioritize and communicate about competing demands, and consistently meet deadlines. - Willingness and ability to pitch in with transactional matters when needed. - Proficiency in Microsoft 365, Google Workspace. - Experience billing time using Clio or equivalent. - Reliable internet access to support remote work.
