Role Description The Resource Management Coordinator plays a key role in supporting effective deployment, utilization and tracking resources across projects and departments. This role collaborates closely with project managers, Finance, HR and other stakeholders to ensure optimal staffing, efficient bench management, and accurate resource tracking. The RM Coordinator will also support reporting, documentation, and facilitating coordination across teams to ensure smooth project operations and governance. Key Responsibilities - Coordinate staffing requests and support timely deployment and re-deployment of resources across projects and departments. - Track employee availability, bench status, upcoming roll-offs, and support bench management for optimal allocation. - Maintain and update internal resource allocation tools, dashboards, and trackers including RM MIS reports. - Support regular reporting activities such as utilization reports, risk logs, capacity planning and resource status update. - Collaborate with project managers and cross-functional teams to gather project updates and maintain resource plans, contracts and billing. - Schedule and coordinate stakeholder meetings, deployment discussions, and governance sessions. - Validate and track timesheets, SOWs, and other project-related documentation. - Maintain centralized project documentation including project charters, meeting minutes (MoMs), and RACI charts. Qualifications - Bachelor’s degree in business administration, Engineering, Computer Science, or a related field. - 3–5 years of experience in coordination, resource management, PMO support, or similar roles. - Strong communication and stakeholder coordination skills. - High attention to detail with strong focus on data accuracy and reporting. - Proficiency in Microsoft Excel or Google Sheets, along with experience in MIS reporting and Power BI dashboards. - Demonstrated ability to work efficiently while managing multiple priorities and deadlines. - Exposure to resource management or staffing tools is an added advantage. - Collaborative mindset with strong organizational skills.
