Office Control Assistant
Envita Medical Center
• Provide administrative support to executive leadership and senior management • Manage executive calendars, schedule virtual meetings, and coordinate appointments • Prepare, organize, and maintain confidential files, reports, and company records • Monitor office workflows and ensure administrative tasks are completed accurately and on time • Draft correspondence, reports, meeting agendas, and presentations • Coordinate communication between executives, employees, clients, and external partners • Track projects, deadlines, and follow-up items for executive leadership • Maintain electronic filing systems and company databases • Assist with travel arrangements, expense reports, and meeting logistics when required • Support virtual meetings by preparing materials and recording meeting notes • Perform data entry, document management, and other administrative duties as assigned • Ensure confidentiality while handling sensitive business information
Job Requirements
- High school diploma or equivalent (Associate's or Bachelor's degree in Business Administration is a plus)
- Previous experience as an executive assistant, administrative assistant, office coordinator, or similar role preferred but not required
- Excellent verbal and written communication skills
- Strong organizational, planning, and time management abilities
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and virtual collaboration tools
- Ability to prioritize multiple tasks and work independently in a remote environment
- High attention to detail and strong problem-solving skills
- Ability to maintain confidentiality and professionalism
- Reliable high-speed internet connection and a dedicated home workspace
