• Own the full execution of all major internal events, including company-wide gatherings, team offsites, and large in-office takeovers (e.g., team Go Days). • Partner with Employee Resource Groups (ERGs) providing hands-on logistics support, vendor coordination, and budget guidance to bring community and cultural programming to life. • Lead end-to-end vendor management for events, including catering, A/V, venues, rentals, and entertainment - owning contracts, timelines, and delivery quality. • Act as the primary onsite lead during events, managing vendors, troubleshooting issues in real time, and ensuring smooth guest flow and technical operations. • Proactively identify risks and develop contingency plans to handle last-minute changes or issues. • Track event budgets end to end, manage invoices, and deliver clear post-event budget reconciliation and reporting. • Coordinate large group bookings for desks, meeting rooms, and common spaces to support team visits and offsites. • Manage logistics for external guests attending events, including special access needs (security, building access, elevators) and vendor coordination. • Own event-related travel logistics for teams, ensuring seamless in-person experiences for employees traveling to and from offsites. • Partner with IT to support remote employee participation through hybrid event setups and localized activations for teams in Calgary and Vancouver. • Work closely with the team to align event needs with daily office services, food & beverage programs, and onsite ops. • Run post-event surveys, gather feedback, and translate learnings into concrete improvements to how events are planned and executed over time. • Continuously improve event processes, templates, and systems to support scale and consistency.
Job Requirements
- 5+ years of experience in corporate event planning or complex logistical coordination, ideally in a fast-paced technology or high-growth environment.
- Proven experience owning the end-to-end execution of large, complex events involving multiple vendors, locations, and stakeholders.
- Strong track record managing event budgets, reviewing vendor quotes, and delivering accurate cost reconciliation.
- Excellent judgment and the ability to stay calm, decisive, and solutions-oriented in high-pressure, live-event environments.
- Strong interpersonal skills - you’re comfortable managing vendors, partnering with internal teams, and being the onsite point of escalation.
- Highly organized, detail-oriented, and motivated by execution excellence.
- A builder mindset: you enjoy improving systems and processes, not just running events.
- Comfortable being the face of the event onsite and a calm point of escalation when things change.
