Private Finance Manager

• Budgeting personal expenses and income/expenses of privately used assets • Executing payments upon requests of Family Office (FO) staff and UBO via credit cards, personal and corporate bank accounts, crypto wallets, etc • Accurate accounting of personal expenses in ERP on a monthly basis • Reporting plan vs actuals for personal expenses and financial performance of privately used assets monthly not later than the 15th of the following month, and providing insights on deviations, any insights at UBO/CFO request • Limited control over the substance of expenses initiated by FO staff • Communication with contractors on agreements, payment for performed services, required documentation, and reconciliation of receivables/payables • Verification of advance reports of the Family Office staff working on privately used assets, allocation of expenses • Communication with the Family Office staff regarding the financial performance of privately used assets • Managing privately used means of payment (personal accounts, credit cards, assigned phones, crypto wallets, etc.) - maintaining sufficient limits for anticipated expenditure, tracking custody, etc • Control of the validity of notarized powers of attorney/bank cards/safe deposit boxes, organization of their prolongation, verification in banks, and similar documentation arrangements • Support for corporate treasury function in peak loads/absence (may include 1-2 business trips annually) • Improving the processes of personal expenses and privately used assets expenditure, accounting, and reporting (including ERP side, disbursement side, etc.) with target workload for those functions not exceeding 0.5 FTE (full-time equivalent) • Other management instructions.

Job Requirements

  • Excel / Google Sheets: advanced user (pivot tables, complex formulas, data validation/controls, reporting, clean structured tables)
  • End-to-end banking payment operations: multi-currency payments, fees, statuses, limits, payment orders, control, and traceability (tracking and follow-up)
  • Reconciliation: bank statement reconciliations, A/P and A/R control, closing documents
  • Solid accounting fundamentals: expense classification, allocation, month-end discipline
  • ERP / finance systems: confident user or fast learner; posting expenses and categorization
  • Crypto wallets: confident user (networks, fees, confirmations, security best practices)
  • Short management reports and clear explanations for CFO/UBO (concise, insight-driven)
  • Fluent English (spoken and written) with strong overall writing quality
  • Strong experience in travel support and business assistance.
