Virtual Maintenance Coordinator

• Own maintenance coordination during evening hours • Be the first point of contact for after-hours maintenance emergencies • Triaging new requests, dispatching the right tech or vendor, following up on open work, and handling true maintenance emergencies • Monitor incoming maintenance requests from the tenant portal, phone line, and Slack throughout your shift • Create, post, and route work orders • Follow up on assigned and open work orders to keep jobs moving • Maintain clean status in AppFolio • Support closeout and billing follow-through on completed work • Serve as the first responder for emergency maintenance calls and messages • Assess urgency and triage correctly using company standards • Dispatch emergency vendors and communicate timelines and next steps clearly to tenants • Escalate to on-call leadership when a situation requires approval or falls outside standard protocol • Coordinate scheduling between vendors and tenants • Communicate Not-To-Exceed (NTE) amounts and request estimates
Job Requirements
- Excellent spoken and written English
- Strong organizational skills and the ability to juggle a high volume of open items without losing track
- Calm, sound judgment under pressure — especially when handling emergencies
- Tech-savvy and comfortable learning new systems quickly
- A reliable, quiet home office: stable high-speed internet with a backup connection, backup power, and a headset
- Able to work the full Monday–Friday evening USA schedule consistently
- Prior experience supporting US property management (strong plus)
- Hands-on AppFolio experience (preferred but not required)
- Conversational or fluent Spanish (many of our tenants and vendors communicate in Spanish) (strong plus)
- Familiarity with home maintenance trades and terminology (HVAC, plumbing, electrical) (strong plus)
- Experience with Slack and remote team coordination (strong plus)
