Project Manager – Tool Governance

Nacar Design

• Manage day-to-day governance and operational processes for design and research tools. • Support license provisioning, onboarding, offboarding and seat management activities across multiple platforms. • Improve and document workflows related to tool requests, approvals, procurement and license assignment. • Serve as the primary point of contact for employees seeking guidance on obtaining access to design and research tools. • Partner with Procurement, Finance and business stakeholders to coordinate software purchases and renewals. • Consolidate and track purchase requests (PRs), purchase orders (POs), invoices and related procurement activities. • Maintain visibility into software utilisation, license allocation and renewal schedules. • Identify opportunities to optimise licensing costs, improve adoption and reduce operational overhead. • Develop governance documentation, process guides, FAQs and communication materials. • Create reports and dashboards that provide visibility into license usage, procurement status and operational metrics.

Job Requirements

  • Experience in Program Management, Project Management, Operations, Business Operations, Procurement Operations or related fields.
  • Strong organisational and process management skills.
  • Experience working with software licensing, SaaS tools and procurement processes.
  • Ability to coordinate across multiple stakeholders and functions — comfortable working with Design, Research, Procurement, Finance, IT and Vendor Management teams.
  • Strong written and verbal communication skills in English.
  • Experience creating process documentation and operational workflows.
  • Nice to have: Experience supporting Design, UX, Research, Product or Engineering organisations.
  • Familiarity with platforms such as Figma, HeyMarvin, UserTesting, Asana or similar tools.
  • Understanding of procurement workflows, purchase orders, invoice management and software renewals.
  • Knowledge of governance, compliance or operational excellence practices.

Role Description The Senior Manager, Procurement Project Management is responsible for playing a key role in bridging Procurement and Operations, leading cross-functional initiatives that improve supply chain performance, supporting sourcing strategies, and driving operational excellence. The Sr Manager will be the liaison for our project teams and lead the development of project specific procurement schedules. This position will provide leadership to ensure timely delivery, cost efficiency, and strong supplier performance. This position can be located at any of our office locations: Phoenix, AZ; Clinton, IN; Indianapolis, IN; Centennial, CO; Irving, TX; or Fargo, ND. Based on the experience and skillset of the individual identified, we are open to a remote-based role with ability to travel to our office and field site locations to support events or department activities.
